Position Summary

Reporting to the Accounts Receivable Manager, the Accounts Receivable Specialist is responsible for supporting the full accounts receivable cycle, including customer collections, cash applications, account reconciliation, customer account maintenance, lien administration, and customer service.

This position works closely with customers and internal departments to resolve account issues, reduce past-due balances, maximize cash flow, and maintain positive business relationships.

Essential Responsibilities

Manage an assigned portfolio of customer accounts and perform collection activities through phone calls, emails, and written correspondence.
Monitor account aging and proactively follow up on current and past-due balances.
Post and apply customer payments, including checks, ACH payments, wire transfers, electronic funds transfers, cash, and credit card payments.
Perform daily cash reconciliation and research unapplied or unidentified payments.
Reconcile customer accounts, investigate payment discrepancies, and assist with resolving billing disputes.
Maintain accurate documentation of customer communications, collection activities, disputes, and payment commitments.
Prepare and process conditional and unconditional lien releases.
Assist with Preliminary Notices, Stop Notices, mechanics’ liens, and bond claims as needed.
Set up and maintain customer accounts, including payment terms, credit limits, tax-exemption documents, and resale certificates.
Generate and distribute customer invoices as needed and run monthly statements.
Assist customers with payment portals, invoices, statements, payment applications, and general account inquiries.
Collaborate with Sales, Service, Project Management, and Accounting to resolve customer issues and improve collection performance.
Meet established departmental collection and customer-contact KPIs.
Participate in process-improvement initiatives and support the development of standardized accounts receivable procedures.
Perform additional duties and special projects as assigned.

Required Qualifications

Five or more years of accounts receivable and commercial collections experience.
Experience with cash applications, customer account reconciliation, and collection activities.
Strong customer service, written communication, verbal communication, organizational, and problem-solving skills.
Proficiency in Microsoft Excel, Microsoft Word, and ERP or accounting systems.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Strong analytical skills with careful attention to accuracy and detail.
Ability to work independently while collaborating effectively with customers and internal departments.
Professional judgment when handling confidential customer and financial information.

Preferred Qualifications

Experience with ERP system.
Knowledge of multistate lien laws, Preliminary Notices, Stop Notices, mechanics’ liens, lien releases, and bond claims.
Experience working in construction, electrical, industrial, generator, or service-related industries.
Experience maintaining tax-exemption and resale-certificate documentation.
Demonstrated initiative in researching account issues, evaluating possible solutions, and coordinating across departments to achieve accurate and timely resolutions.
