Event Production Assistant (Independent Contractor)

AE National, LLC is an event production company specializing in the planning and execution of cultural experiences, public art installations, and large-scale live events. As AURORA's primary production partner, AE National provides production management, logistics, and operational support to bring ambitious artistic experiences to life.

About AURORA

AURORA is a Dallas-based nonprofit public arts organization creating free, accessible public art experiences through artists, technology, and community. On November 21, 2026, AURORA will transform downtown Dallas into an immersive outdoor exhibition featuring internationally recognized artists working in light, video, sound, performance, and interactive new media.

As an Event Production Assistant, you'll play an important role in supporting the production of the 2026 AURORA Biennial. This is an exciting opportunity to gain hands-on experience producing one of the region's signature public art events while working alongside artists, production professionals, and community partners.

Position Overview

Working closely with the Production Manager and Production Coordinator, you'll support every stage of event production—from planning and administrative coordination to on-site execution and post-event wrap-up.

This role combines office-based production support with hands-on event work. Success in this position requires exceptional organizational skills, attention to detail, and the ability to manage multiple moving pieces while remaining calm, flexible, and solutions-oriented in a fast-paced environment.

Scope of Work

Before the Event

Assist with production planning, timelines, schedules, and run-of-show documents.
Maintain production spreadsheets, vendor contact lists, project trackers, and organizational files.
Coordinate communication and secure quotes from vendors, contractors, and event partners.
Organize contracts, permits, credentials, signage, and production materials.
Track equipment, supplies, and inventory.
Assemble production kits and event materials.
Provide administrative and logistical support to the production team.

During the Event

Assist with event load-in, installation, setup, and strike.
Support artists, vendors, contractors, volunteers, and production crews.
Coordinate artist check-in and hospitality.
Help monitor production schedules and communicate updates to the Production Manager and Production Coordinator.
Assist with guest wayfinding, accessibility accommodations, and crowd flow.
Help troubleshoot logistical challenges while maintaining a positive and professional attitude.
Support a safe, organized, and welcoming event environment.

After the Event

Assist with inventory, packing, equipment returns, and storage.
Support site restoration and cleanup.
Help organize production notes and wrap-up documentation.
Assist with final administrative tasks following event completion.

Who We're Looking For

The ideal candidate is:

Exceptionally organized and detail-oriented.
Comfortable balancing administrative responsibilities with hands-on production work.
Able to manage multiple priorities and deadlines simultaneously.
A proactive problem solver who enjoys finding solutions.
A strong communicator who works well with artists, vendors, volunteers, and team members.
Comfortable using Google Workspace, spreadsheets, and shared project documents.
Excited about public art, community engagement, and live events.

Preferred Experience

Experience in one or more of the following is preferred but not required:

Event production
Festivals
Theater or stage management
Arts administration
Museums or galleries
Community programming
Live entertainment
Hospitality or event operations

Physical Requirements

Ability to stand and walk for extended periods during event days.
Ability to lift approximately 25–50 pounds during setup and breakdown.
Ability to work both indoors and outdoors in varying weather conditions.
Availability to work evenings and weekends during production and event dates.
