Full Job Description

Position Summary

We are a small, established plumbing company seeking a dependable and organized Accounts Payable/Receptionist to support our accounting team and daily office operations. The ideal candidate is professional, detail-oriented, comfortable managing multiple priorities, and able to communicate effectively with customers, vendors, field employees, and office staff.

This position offers opportunities for career development and increased responsibilities as the employee gains experience and demonstrates proficiency.

Responsibilities

Accounts Payable

· Enter vendor invoices accurately and promptly

· Obtain proper approvals and prepare invoices for payment

· Reconcile vendor statements and research discrepancies

· Maintain organized electronic and paper accounting records

· Process vendor and subcontractor documentation, including W-9s and certificates of insurance

· Assist with company credit card receipt collection and receipt reimbursements

· Respond to vendor questions regarding invoices and payment status

· Provide general administrative support to the accounting department

Reception and Office Support

· Answer and direct incoming phone calls professionally

· Greet customers, vendors, and visitors

· Monitor shared email accounts and distribute messages appropriately

· Assist customers by asking basic service questions and route service requests

· Receive and distribute mail, deliveries, and office correspondence

· Maintain and keep the reception area organized

· Assist with filing, scanning, data entry, and other general office duties

· Communicate with field technicians and project staff as needed

Career Development

· We believe in developing employees from within. As the employee grows in the position, the role may expand through training and cross-training in additional accounting and construction-office functions, including but not limited to:

· Weekly payroll processing

· Union payroll administration

· Union dues and benefit reporting

· Certified payroll and prevailing-wage reporting

· Employee onboarding and payroll documentation

· Accounts receivable and customer billing

· Contract and subcontractor compliance

· Month-end accounting support

· Additional bookkeeping and administrative responsibilities

· Expanded responsibilities will be based on the employee’s interests, performance, experience, and the company’s needs.

Qualifications

· At least three years of accounts payable, bookkeeping, accounting support or general office experience preferred

· Previous experience in plumbing, construction, or another service-based industry is a plus

· Strong data-entry, organizational, and time-management skills

· Basic understanding of invoices, purchase orders, vendor statements, and payment processing

· Proficiency with Microsoft Outlook, Excel, and Word

· Experience with accounting, payroll, or construction software is preferred

· Professional phone etiquette and customer-service skills

· Ability to handle confidential financial and employee information

· Willingness to learn and take on additional responsibilities

· Reliable attendance and ability to work independently

· Some college coursework in accounting, business administration, finance, or a related field required; Associate’s degree preferred
