Position Summary

GENERAL SUMMARY: Under supervision, the AmeriCorps Member Support Professional performs administrative, clerical, communication, customer service, and program support duties in service of the City of Dubuque AmeriCorps Program. This role supports the AmeriCorps Program Director in recruiting, onboarding, managing, and engaging AmeriCorps Members; preparing program materials; maintaining records; monitoring compliance; and coordinating communication with members, partners, and the public.

The ideal candidate follows a management style that is input-oriented and values fairness, problem solving, and collaborative partnerships; demonstrates strong organizational skills, attention to detail, and proficiency with office technology; and thrives in an environment that emphasizes service, people, integrity, responsibility, innovation, and teamwork.

DISTINGUISHING FEATURES OF THE CLASS: Work in this class involves responsibility for administrative support, recruitment coordination, member communication, marketing tasks, document management, and customer service. Employees in this class exercise independent judgment while maintaining compliance with AmeriCorps policies, City requirements, confidentiality standards, and grant regulations.

Job Duties

Monitor timesheet submissions and maintain compliance documentation.
Update the AmeriCorps Member Handbook annually to ensure alignment with Federal, State, and City requirements.
Maintain member records, digital files, and documentation in accordance with compliance standards.
Prepare, draft, proofread, and distribute program materials, newsletters, correspondence, and informational updates.
Support internal administrative tasks including scheduling, file management, document preparation, tracking, and organizing program information.
Implement creative recruitment strategies supporting member engagement.
Coordinate outreach at community events, job fairs, schools, colleges, and social media platforms.
Assist with onboarding, orientation, and initial training for AmeriCorps Members.
Maintain recruitment records, communication templates, tracking logs, and onboarding documentation.
Provide ongoing communication and support to AmeriCorps Members.
Document and address member issues and refer concerns to appropriate program leadership.
Support training, development, and tracking of member progress, goals, and service hours.
Coordinate team-building activities, recognition events, and professional development opportunities.
Create marketing and promotional materials such as flyers, newsletters, graphics, and social media content.
Manage online content, including website updates and digital storytelling for member recognition.
Assist with communication strategies that increase visibility of AmeriCorps in the community and strengthen alumni engagement.
Represent the AmeriCorps Program at community meetings and events.
Coordinate with Host Site Supervisors to support member success and communication needs.

Knowledge, Skills, and Abilities

Administrative/Clerical: Knowledge of modern office practices, clerical procedures, file management, forms design, document production, records management, and office equipment.
Customer and Personal Service: Ability to provide high-quality customer service; assess customer/member needs; meet service standards; and handle concerns with professionalism and empathy.
Active Listening & Communication: Skilled at listening without interruption, asking appropriate questions, and clearly communicating in writing and in person. Ability to compose accurate reports, correspondence, and program materials.
Computers and Electronics: Knowledge of electronic equipment, computer hardware, and software, including Microsoft Office Suite, digital records platforms, communication tools, and online meeting/reporting systems.
Deductive and Inductive Reasoning: Ability to interpret information and apply complex program requirements, policies, and compliance rules.
Time Management & Organization: Ability to manage multiple priorities, maintain accuracy, meet deadlines, and organize program tasks effectively.

Qualifications

MINIMUM QUALIFICATIONS:

High school diploma or equivalent; and Experience or on-the-job training related to the duties of the position; or any combination of education and experience equivalent to the position qualifications.
