Full Job Description

Are you organized, proactive, and eager to support high-level project initiatives? We are seeking a detail-oriented and resourceful Project Assistant to provide essential administrative and operational support for our global practice leadership. This is your chance to play a pivotal role in ensuring seamless project execution, facilitating smooth communication, and supporting executive-level functions in a fast-paced environment. Key Responsibilities:

Provide comprehensive administrative support to the Global Practice Manager and Leadership team, including calendar management, travel arrangements, expense reports, and meeting coordination.
Handle sensitive and confidential information with professionalism and discretion.
Prepare and organize reports, memos, presentations, and correspondence for internal and external stakeholders.
Facilitate communication between leadership and clients, government officials, media, and internal teams.
Assist in document approval processes, invoice management, and contract negotiations.
Organize and maintain project files, documentation, and records while ensuring data accuracy and security.
Support logistical arrangements for large group events, meetings, and conferences, including venue setup, A/V equipment, catering, and materials.
Manage project documentation, review bids, and oversee procurement processes within budget constraints.
Monitor and review expenditures to ensure alignment with departmental budgets.
Contribute to the overall efficiency of project execution by providing clerical and data entry support as needed.

Required Skills & Qualifications:

Proven experience supporting senior leadership or project teams.
Exceptional organizational abilities and meticulous attention to detail.
Strong written and verbal communication skills.
Proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle confidential information with integrity.
Excellent multitasking, prioritization, and time-management skills.
Problem-solving mindset with proactive initiative-taking.

Nice to Have Skills:

Experience working in a global or corporate environment.
Knowledge of project management tools and software.
Event planning or logistics coordination experience.
Ability to interface professionally with diverse internal and external stakeholders.

Preferred Education & Experience:

Bachelor’s degree in Business Administration, Communications, or related field.
3+ years supporting project or executive staff, preferably in a corporate setting.

Additional Requirements:

No remote or hybrid work options; onsite presence is required.
Ability to travel or coordinate logistics for large events as needed.
Certification in project management or administrative support is a plus.
