Job Summary

We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your enthusiasm and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team environment.

Duties

Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring they feel welcomed and valued
Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel
Manage appointment scheduling, calendar management, and coordinate meeting .
Perform data entry and maintain accurate records through filing, proofreading, and updating databases with attention to detail
Handle incoming correspondence, including emails and mail, ensuring timely distribution and follow-up as needed
Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining organized workspaces
Provide customer support by addressing inquiries professionally and assisting with administrative requests in a timely manner

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent phone etiquette with experience managing multi-line phone systems in a fast-paced environment
Demonstrated office management skills including calendar management, filing systems, and organization of office supplies
Previous clerical experience with data entry, proofreading, and administrative support preferred
Technical proficiency in office equipment such as printers, scanners, and fax machines along with familiarity in bookkeeping software like QuickBooks
