SBI Finishing is a family-owned fabric finishing company built on integrity and genuine care for our customers and our team. We apply performance treatments to customer fabric (DWR, antimicrobial, flame retardant, backings, and more) and have built our reputation on quality and dependable turnaround. The Role

Every order we process starts with you. The Administrative Receiving Coordinator is the first checkpoint in our production workflow — the person who makes sure every incoming fabric shipment is accurately verified, documented, and cleared for production. If you're detail-oriented, process-driven, and take pride in doing things right the first time, this role is a great fit.

What You'll Do

Receive incoming fabric shipments, prepare test samples, and perform heat-sensitivity testing to confirm fabric type before processing begins
Stamp, date, and document every packing list with the confirmed order number; maintain accurate records in our database and Google Drive
Search our order management system to match each shipment to its corresponding Purchase Order, working through the full verification process until every item is accounted for
When a match can't be confirmed, flag the item immediately and escalate to the Office Manager — unverified fabric never advances to production
Support invoicing, data entry, vendor correspondence, and general office administration as needed

Growth Opportunities

This role is built to expand. As you get comfortable in receiving, you'll have the opportunity to cross-train on additional workflows, customer order follow-up, shipping coordination, and internal reporting.

Qualifications

High School Diploma or equivalent
3+ years of administrative or business process experience
Invoicing and receiving experience
Excellent written and verbal communication skills
Proficiency with Google Workspace (Google Docs, Google Drive)
Ability to follow multi-step procedures accurately and consistently

Preferred

Experience with FileMaker or similar database/ERP systems
Background in manufacturing, warehousing, or fabric/textile environments
Familiarity with purchase orders, packing lists, and vendor documentation
Experience using Slack or similar business communication tools
Non-smoker

Work Environment & Physical Requirements

This position works on-site at SBI Finishing in an office environment adjacent to the production floor. The role involves regular movement between the office and warehouse receiving area. Physical requirements include the ability to stand, carry, and handle fabric swatches; lift up to 15 lbs occasionally; and operate standard office and fabric-testing equipment (iron, cutting tools). Standard full-time schedule; specific hours to be confirmed at offer.
