Full Job Description

Overview

We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our team. The ideal candidate will be responsible for ensuring the accurate and timely processing of invoices, payments, and vendor transactions for multiple long-term care facilities and related business entities. This position supports the financial integrity of the organization by maintaining accurate records, resolving payment discrepancies, and fostering positive relationships with vendors, facility staff, and business partners. The role requires a high level of accuracy, confidentiality, and commitment to supporting the multiple facilities that constitute Wilson Senior Care.

Duties

Match invoices Purchase Orders and receivers (resolving any discrepancies)
Code invoices to proper facility & proper cost center using correct general ledger accounts
Receive accurate invoices into Hybrent
Import/enter invoices into Point Click care (PCC) system
Perform check runs and prepare checks for mailing
Maintain paid vendor files.
Enter checks into First Reliance online treasury management service, Positive Pay. Check daily for discrepancies and resolve, if any are found.
Reconcile vendor statements to open invoices and maintain open invoice listing/aging.
Maintain positive working relationship with vendors, approved purchasers and coworkers to resolve questions and errors.
Print out prior day’s banks activity reports
Maintain spreadsheets for A/P and general ledger (C.N.A. training & recertification, legal fees, maintenance expenses, prepaid schedule, debt schedule, etc.)
Maintain documentation of Certificate of Liability Insurance and Tax Identification Numbers on vendors.
Manage numbering system for storage boxes located at the warehouse
Perform basic computer actions to assist IT Director
Accurately key journal entries into general ledger
Assist with preparations for audits (copies, spreadsheets, etc.)
General office support to include data input, document formatting, printer/copier support
Other duties as assigned
