At Visiting Angels Nashville, we're more than a home care agency, we're a team of dedicated professionals committed to helping old adults remain safe, independent, and comfortable in their own homes. We believe exceptional care starts with an exceptional office team.

We're looking for an Office Coordinator who is organized, dependable, customer-focused, and thrives in a fast-paced environment. If you enjoy solving problems, supporting others, and making a meaningful impact every day, we'd love to meet you.

Schedule

Full-Time, Monday–Friday
In-office position
Participation in an after-hours on-call rotation is required

What You'll Do

As our Office Coordinator, you'll serve as the hub of our daily operations by:

Answering incoming calls from clients, families, caregivers, referral partners, and prospective clients
Assisting with caregiver schedules to ensure exceptional client care
Working closely with the Director to promote outstanding client and caregiver satisfaction
Assisting with caregiver recruiting, interviewing, hiring, on boarding, and retention
Maintaining employee records and supporting HR compliance
Managing administrative tasks to ensure smooth office operations
Handling high-volume phone calls while delivering outstanding customer service
Participating in an after-hours on-call rotation
Representing Visiting Angels at community events, networking opportunities, and marketing activities
Building positive relationships with our clients, families and caregivers

What We're Looking For

We're seeking someone who is dependable, organized, compassionate, and genuinely enjoys helping others.

Qualifications:

Minimum of 2 years of administrative, customer service, or office coordination experience
Home care, healthcare, caregiver experience with older adults is preferred but not required
Associate's degree required; Bachelor's degree preferred
Excellent verbal and written communication skills
Exceptional organizational skills with strong attention to detail
Ability to multitask, prioritize, and adapt in a fast-paced environment
Strong problem-solving and conflict-resolution skills
Ability to maintain professionalism and confidentiality when handling sensitive information
Proficiency with Microsoft Office, including Outlook, Word, and Excel
Comfortable learning and using scheduling software and other office technology
Positive attitude with a servant's heart and commitment to providing exceptional customer service
Ability to work independently while contributing to a collaborative team
