Full Job Description

Child Action is a private, non-profit corporation created in 1976 to promote the education and social welfare of children and families and to advocate on their behalf. Our programs include resource and referral services for families seeking child care, child care subsidies for qualifying families, recruitment and professional development of the child care workforce, and family education and support.

We are seeking individuals who are highly organized, have the ability to multi-task, provide excellent customer service, have good problem-solving skills, and have the ability to understand the challenges facing families from a variety of ethnic and economic communities.

Typical Duties:

Administrative Support

Provide administrative support to the Director of Human Resources and HR leadership.

Manage calendars, schedule meetings, and coordinate appointments.

Prepare correspondence, reports, presentations, agendas, and meeting materials.

Coordinate travel arrangements and expense reporting, as needed.

Assist with special projects and departmental initiatives.

Human Resources Support

Maintain confidential employee files and HR documentation.

Assist with onboarding and offboarding logistics.

Prepare new hire packets and orientation materials.

Coordinate employment paperwork and document processing.

Support recruitment activities by scheduling interviews and communicating with candidates.

Assist with HR events such as benefits enrollment, wellness programs, recognition activities, and employee engagement initiatives.

Maintain HR databases and filing systems.

Process routine HR forms and requests while ensuring confidentiality.

Learning & Development Support

Coordinate employee training schedules and registrations.

Reserve training rooms or virtual meeting platforms.

Prepare participant materials, handouts, and evaluations.

Communicate training details to employees and facilitators.

Track attendance and maintain training records.

Assist in maintaining the Learning Management System (LMS), if applicable.

Generate reports on training participation and completion.

Coordinate logistics for workshops, leadership programs, and organization-wide training events.

Order and maintain training supplies and materials.

Customer Service & Communication

Coordinate vendor communications related to HR or training services.

Serve as a primary point of contact for routine HR and training inquiries.

Provide excellent customer service to employees, managers, and external partners.

Direct inquiries to the appropriate HR team member.

Support communication of HR initiatives and training opportunities.

Maintain professionalism and confidentiality in all interactions.

Records & Compliance

Ensure confidential handling of sensitive employee information.

Maintain records in accordance with organizational policies and applicable laws.

Assist with document retention and records management.

Support preparation for audits and compliance reviews.

Track required employee certifications, licenses, and mandatory training.

Education & Experience:

High School Diploma or GED. Associate's degree in Business Administration, Human Resources, or a related field (or equivalent experience) preferred.

1-2 years of progressively responsible administrative support experience, preferably in HR, Learning & Development, or a related administrative environment.
Experience with HRIS, Learning Management Systems (LMS), or other HR software preferred.

Qualifications, Knowledge, Abilities:

Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).

Proficiency with technology and digital communication tools.

Strong organizational, project management, and time management skills.

Excellent written, verbal, and interpersonal communication skills.

Ability to manage multiple priorities, meet deadlines, and work independently and collaboratively.

High level of discretion and ability to handle confidential information.

Strong customer service orientation with the ability to build and maintain positive working relationships.

Demonstrated initiative and problem-solving skills.

Ability to provide professional, courteous, and responsive service to employees, applicants, and members of the public.

Physical Factors:

Works in an office setting. Work is primarily sedentary and requires light physical effort; may require greater physical effort on an incidental basis

Possess visual capability and digital dexterity to operate a computer and other standard office

equipment

Make fine visual distinctions upon proofreading written documents and viewing information on a computer screen

Should be able to bend to access files and be able to lift up to 10 lbs. of files +

Eligible to work overtime.

Pay Grade Range: $27.64 -$34.55

Closing Date: Until filled

Hours: Must be able to work full-time, 40.0 hours per week (8.0 hours a day), Monday through Friday. All employees must be able to work additional overtime and weekend hours as required.
