Full Job Description

Receptionist & Administrative Assistant

Kokopelli Home Services is seeking a dependable, driven, and customer-focused Receptionist & Administrative Assistant to become a trusted voice of our company. This person will often be the first point of contact for our customers, so we are looking for someone who communicates warmly, stays organized under pressure, and takes ownership of getting things done.

This position will begin as a work-from-home role and may transition to a hybrid or in-office role in the future, based on business needs.

Position details

Position: Part-Time Receptionist & Administrative Assistant
Hours: Approximately 25 hours per week. Hours will increase over the next 6 months.
Pay: $19.00 per hour
Location: Remote initially; possible future hybrid or in-office work
Benefits after 6 months: Paid time off, Trailhead Clinic membership, and Zion HealthShare membership

What you’ll do

Answer incoming calls professionally, courteously, and promptly
Serve as a welcoming, knowledgeable, and trustworthy voice for Kokopelli Home Services
Schedule service calls, coordinate jobs, and help keep daily schedules organized
Communicate with customers by phone, text, and email regarding appointments, service updates, questions, and concerns
Deliver excellent customer service and help resolve customer issues with professionalism and care
Assist with billing, invoicing, payment follow-up, and basic administrative recordkeeping
Support sales efforts by responding to new leads, following up with prospective customers, and helping convert inquiries into booked jobs
Enter and maintain accurate customer, job, scheduling, and billing information
Coordinate with technicians and management to ensure customers receive timely updates
Identify priorities independently and help improve office processes as the company grows
Handle confidential customer and company information responsibly

What we’re looking for

The ideal candidate is organized, proactive, friendly, reliable, and comfortable handling several responsibilities at once. You should be able to work independently from home while remaining responsive and accountable to the team.

Required qualifications:

Prior experience in a receptionist, administrative assistant, customer service, dispatch, office support, or similar role
Previous knowledge of or experience working in the home-services industry, such as HVAC, plumbing, electrical, landscaping, cleaning, restoration, roofing, handyman services, or another service-based trade
Excellent phone presence and clear verbal and written communication
Strong customer-service mindset and ability to remain calm, respectful, and solutions-oriented
Self-starter who can work independently, manage time effectively, and follow through without constant supervision
Strong organizational skills, attention to detail, and ability to prioritize competing tasks
Comfort using computers, scheduling software, email, spreadsheets, and phone/text communication tools
High level of professionalism, trustworthiness, and discretion with customer and company information
Reliable high-speed internet and a quiet, professional home workspace

Preferred qualifications:

Experience with service scheduling, dispatching, invoicing, CRM software, or bookkeeping
Prior work in a home service industry
Experience handling sales leads or appointment setting
Familiarity with QuickBooks or similar billing/invoicing software
Experience working remotely
