POSITION OVERVIEW
The Operations Specialist at Transhealth is responsible for monitoring and optimizing the day-to-day operations of the organization alongside the full Operations Team, ensuring that all staff have the necessary resources to succeed. This position is salaried, non-union due to confidential designation, full-time, and on-site. This role involves managing IT and physical security needs, coordinating facility management, and operationalizing training and special projects with multiple departments, including Human Resources. The Operations Specialist plays a key role in maintaining operational excellence, collaborating closely with all departments to support the successful functioning of the organization.
KEY RESPONSIBILITIES
Operational Leadership:
- Collaborate with staff and leadership to identify and meet the operational needs of the organization, ensuring smooth and efficient workflows and systems.
- Provide support for IT needs, coordinating with external IT service providers to ensure technology systems are operational and meet the needs of all staff.
Facility Management:
- Serve as a main point of contact for all facility-related needs, including maintenance, repairs, and vendor management.
- Acting as OSHA compliance officer to ensure that the facility is safe, compliant with regulations, and provides a welcoming environment for patients and staff.
Process Implementation:
- Implement process improvements to enhance operational efficiency across the organization.
- Develop and maintain standard operating procedures for key operational functions, ensuring consistency and compliance with best practices.
- Monitor key performance indicators related to operations and report on progress to leadership.
Staff Collaboration and Support:
- Build and maintain strong working relationships with all departments, serving as a resource and advocate for their operational needs.
- Provide training and support to staff on operational processes, systems, and tools.
- Foster a collaborative and supportive work environment, encouraging open communication and continuous improvement.
Employee Onboarding and Database Management:
- Function as an administrator of the organization’s HR Information System
- Work alongside HR to develop training management program for regulatory compliance
- Develop standardized departmental and role-specific training programs
- Lead onboarding activities, develop schedule and assist with initial training objectives
Healthcare Systems Management
- Manage EPIC user accounts, including provider software licenses
- Manage credentialing processes from new hires to annual recertifications
- Upkeep of Google Workspace systems to ensure HIPAA and organizational compliance
340b Pharmacy Program Partner:
- Monitoring assigned tasks within the 340b Pharmacy program, ensuring compliance with all relevant regulations and guidelines.
- Ensure that the program supports the organization's mission to provide affordable medication access to patients.
QUALIFICATIONS
Experience:
- Minimum of 5 years of experience in operations management, preferably within a healthcare or community health center setting.
- Proven experience in change management, managing facilities, IT, and training programs across complex teams.
- Managing HR information systems, such as Paylocity
Skills:
- Strong leadership and project management skills, with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse teams.
- Proficiency in technology, security, and IT systems.
- Strong problem-solving skills and a proactive approach to addressing operational challenges.
