Full Job Description

Position Summary:

The Human Resources Specialist provides administrative and operational support to the Vice President of Human Resources and serves as a key resource for payroll administration, student compliance training, student Title IX case management, athletic compliance support, and employee services. The position is responsible for coordinating payroll through Paycom, managing required student training programs, supporting student-athlete eligibility certification, serving as the Senior Woman Leader for Athletics, and ensuring compliance with institutional and regulatory requirements while maintaining the highest standards of confidentiality and customer service.

Essential Functions:

Human Resources Administration

Provides administrative support to the Vice President of Human Resources in all areas of HR operations.
Assists with the recruitment process, including posting positions, maintaining applicant records, and communicating with candidates.
Facilitates onboarding of student employees.
Maintains personnel files and HR records in accordance with institutional policies and applicable regulations.
Assists with responding to employee inquiries regarding policies, procedures, benefits, and payroll matters.
Assists with audits, reports, surveys, and compliance documentation.
Maintains confidentiality of employee and student records and sensitive information.

Payroll Administration

Serves as the primary administrator for payroll processing through Paycom.
Reviews and audits employee timekeeping records for accuracy and completeness.
Coordinates payroll schedules and ensures timely processing of payroll.
Assists employees and supervisors with Paycom-related questions and system navigation.
Maintains payroll records and prepares payroll reports as requested.
Ensures compliance with federal, state, and institutional payroll regulations and policies.
Serves as liaison with the Business Office regarding payroll-related matters.

Student Training Administration

Administers and tracks all required student compliance training programs.
Assigns mandatory training modules to students through the institution's learning management or compliance platform.
Monitors training completion rates and provides regular compliance reports.
Communicates with students regarding training requirements, deadlines, and completion status.
Collaborates with Student Affairs, Academic Affairs, Athletics, and other departments to ensure compliance with institutional and regulatory training requirements.
Maintains accurate records of student training assignments and completions.

Student Title IX Coordination Support

Serves as the primary administrator for student Title IX intake and case tracking.
Receives and documents reports, complaints, and referrals related to student Title IX matters.
Coordinates meetings, communications, documentation, and case management activities under the direction of the designated Title IX Coordinator.
Maintains confidential Title IX records and case files in accordance with institutional policy and federal requirements.
Tracks case timelines, training requirements, and reporting obligations.
Assists with Title IX education, prevention, and awareness initiatives.
Coordinates student Title IX training assignments and maintains completion records.

Compliance and Reporting

Assists in ensuring compliance with employment laws, institutional policies, and regulatory requirements.
Prepares routine reports related to payroll, HR metrics, training compliance, and Title IX activities.
Participates in internal and external audits as requested.
Identifies process improvement opportunities and assists with implementation.
Assists the Registrar's Office with certification of student-athlete eligibility in accordance with institutional, conference, and applicable athletic association requirements.
Serves as the institution's Senior Woman Leader (SWL) within the Athletics Department by collaborating with Athletics leadership to promote compliance and equity among student-athletes, particularly supporting opportunities for women in athletics.

Other Responsibilities:

Provides support during employee events, recognition activities, and institutional functions.
Assists with special projects assigned by the Vice President of Human Resources.
Participates in campus committees and activities as appropriate.
Performs other duties as assigned.

Education, Experience, & Skills Required:

Associate's degree required; Bachelor's degree in Human Resources, Business Administration, Higher Education Administration, or related field preferred.
Minimum of two years of human resources, payroll, compliance, or administrative experience.
Experience with payroll systems required; Paycom experience strongly preferred.
Experience in higher education preferred.
Experience working with confidential records and sensitive information required.
Working knowledge of human resources principles and payroll administration.
Ability to maintain confidentiality and exercise sound judgment.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent written, verbal, and interpersonal communication skills.
Strong attention to detail and accuracy.
Proficiency in Microsoft 365 applications, including Outlook, Word, Excel, Teams, SharePoint, and OneDrive.
Ability to learn and utilize HRIS, payroll, training, and case management systems.
Demonstrated customer service orientation and problem-solving ability.
Ability to work independently and collaboratively in a team environment.
