Full Job Description

Carriage Cove Rehabilitation and Care Center is seeking a highly organized, detail oriented, and customer-focused Business Office professional to join our leadership team. This position plays a critical role in the financial success of the facility by overseeing resident accounts receivable processes, insurance verification, admissions financial setup, payroll processing, and supporting census growth.

The ideal candidate will have experience in skilled nursing, healthcare billing, insurance knowledge with Medicare, Medicaid, managed care, and electronic health records. Experience with PointClickCare is strongly preferred.

Key Responsibilities

Insurance and Admissions

· Verify primary and secondary insurance benefits.

· Obtain insurance authorizations and extensions.

· Build and maintain payer profiles.

· Configure resident financial and billing profiles.

· Establish accounts receivable billing for all admissions.

· Maintain accurate census information and census line management.

· Assist with admissions financial documentation.

Accounts Receivable

· Manage private pay and accounts receivable and collections.

· Generate and distribute resident statements.

· Process month end cash collections.

· Post payments accurately and timely.

· Complete account adjustments and reversal of adjustments when necessary.

· Process resident refunds.

· Monitor aging reports and proactively follow up on outstanding balances.

Billing

· Submit Medicare, Medicaid, Managed Care, Hospice, and Private Pay claims.

· Correct rejected or denied claims.

· Process claims corrections and rebilling.

· Complete Triple Check billing review each month.

· Maintain billing accuracy and regulatory compliance.

· Manage PointClickCare ancillary charge entry.

· Ensure accurate PDPM HIPPS codes are entered and billed appropriately.

Payroll and Human Resources

· Process facility payroll accurately and on schedule.

· Conduct new employee orientation.

· Assist with onboarding documentation.

· Maintain employee records as assigned.

Resident Trust

· Maintain resident trust accounts.

· Process deposits, withdrawals, reconciliations, and monthly balancing.

· Ensure compliance with all state and federal regulations regarding resident funds.

Marketing and Customer Service

· Support facility marketing efforts.

· Build positive relationships with residents, families, referral partners, and community organizations.

· Provide exceptional customer service to residents, families, and visitors.

· Assist leadership with occupancy growth initiatives.

Qualifications

· High school diploma required. Associate or Bachelor’s degree preferred.

· Minimum of two years of healthcare business office or billing experience preferred.

· Skilled nursing or long term care experience strongly preferred.

· Experience with Medicare, Medicaid, Managed Care, and private insurance billing.

· Experience using PointClickCare preferred.

· Knowledge of PDPM reimbursement preferred.

· Payroll processing experience preferred.

· Strong computer skills including Microsoft Office.

· Excellent organizational, communication, and customer service skills.

· Ability to prioritize multiple responsibilities while maintaining accuracy.

· High level of professionalism, confidentiality, and integrity.
