Receptionist / Administrative Assistant

Position: Full-Time
Department: Office
Location: Junction City, Kansas

Patriot Estates is looking for a dependable, organized, and friendly Receptionist / Administrative Assistant to join our property management team.

This position is the first point of contact for many of our residents, applicants, vendors, and visitors, so we are looking for someone who is professional, helpful, organized, and able to handle a busy office environment.

This is a great position for someone who enjoys working with people, staying organized, and helping keep an office running smoothly.

PRIMARY RESPONSIBILITIES

Answer and direct incoming phone calls.
Greet tenants, applicants, vendors, and visitors.
Take clear and accurate messages.
Respond to basic tenant questions and direct more complex issues to the appropriate staff member.
Schedule appointments, inspections, showings, maintenance access, and other property-related visits.
Prepare and distribute routine tenant notices.
Complete basic paperwork and data entry.
Scan, copy, organize, and file documents.
Maintain organized tenant and property records.
Assist with move-in and move-out paperwork.
Assist with keys and other basic office records.
Receive maintenance requests and ensure they are properly entered and directed to the appropriate department.
Contact residents when maintenance needs access to a unit.
Assist with appointment and calendar management.
Help maintain accurate contact information for residents.
Assist other office staff with administrative tasks as needed.

Able to maintain confidentiality regarding tenant and company information

IMPORTANT PART OF THIS POSITION

Property management can be fast-paced. Some days are quiet, while others may involve several phone calls, maintenance issues, appointments, residents, vendors, and paperwork happening at the same time.

We are looking for someone who can stay calm, organized, and professional while helping direct each issue to the correct person.

This position is not expected to personally solve every problem. A major part of the job is gathering accurate information, documenting it properly, and making sure it reaches the appropriate staff member.

EXPERIENCE

Previous receptionist, administrative, customer service, leasing, or property management experience is helpful but not required.

We are willing to train the right person who is dependable, professional, organized, and willing to learn.

GENERAL OFFICE DUTIES MAY INCLUDE
