Full Job Description

Tennis on the Lake is seeking a highly organized and responsive Staffing & Workforce Coordinator to oversee coach scheduling, recruitment, onboarding, and payroll administration.

This position plays a central role in ensuring that our tennis programs are fully staffed and that coaches receive timely, accurate support. The ideal candidate has experience in employee scheduling, recruiting, payroll administration, tennis club administration, or a similar coordination role.

Key Responsibilities

Scheduling and Staffing

Create and coordinate tennis coach schedules across multiple locations.
Ensure every scheduled location, court, class, and program has appropriate coaching coverage.
Proactively identify and resolve potential scheduling gaps.
Respond promptly to employee call-offs and arrange substitutions whenever needed.
Communicate schedule assignments and changes clearly to coaches and managers.
Maintain accurate and up-to-date scheduling records.

Because substitution needs can arise unexpectedly, this position requires prompt responsiveness and the ability to solve staffing issues quickly.

Recruitment and Onboarding

Recruit full-time, part-time, and seasonal tennis coaches.
Post and maintain job openings through job boards, colleges, tennis organizations, social media, and other recruiting channels.
Review applications and resumes, communicate with candidates, and coordinate interviews and on-court evaluations.
Conduct or assist with initial interviews.
Maintain the hiring tracker and follow candidates through each stage of the process.
Prepare offer letters and coordinate required employment documentation.
Set up new employees in the appropriate systems and ensure onboarding requirements are completed.
Coordinate initial schedules, court assignments, and communication access for new coaches.
Transfer newly hired coaches to the coach training department once onboarding is complete.

Coach training is managed by a separate department and is not a primary responsibility of this position.

Payroll Administration

Process payroll accurately and on time using iSolved.
Review employee hours, payroll adjustments, and other compensation items.
Identify and resolve discrepancies before payroll is submitted.
Maintain organized payroll and employee records.
Respond to routine payroll questions from employees and managers.

Qualifications

Required

Bachelor’s degree.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple priorities, deadlines, and last-minute changes.
Strong problem-solving skills and the ability to remain composed when handling urgent staffing needs.
Ability to work independently and accept responsibilities.
Professional judgment and discretion when handling confidential employee information.
Proficiency with Microsoft Office and the ability to learn new scheduling, payroll, and personnel systems.

Preferred

Two or more years of relevant experience in scheduling, staffing, recruitment, payroll, human resources, tennis administration, or a related field.
Relevant internships, schoolwork, or leadership experience may be considered.
Experience working at a tennis club, sports facility, recreational program, or other multi-location organization.
Familiarity with iSolved or another payroll and human resources platform.
Experience scheduling hourly, seasonal, or part-time employees.

Work Arrangement

This position will begin in person so the successful candidate can learn Tennis on the Lake’s programs, locations, systems, and staffing needs. Once the employee can perform the position’s responsibilities accurately and independently, the role will transition to a hybrid work arrangement.

Compensation and Benefits

· Starting salary of $50,000–$60,000 per year, depending on experience.

Reliable scheduling, thoughtful recruitment, accurate onboarding, and timely payroll processing are essential to delivering a consistent experience for our coaches and students.

Pay: $50,000.00 - $60,000.00 per year
