Full Job Description

Who Are MRF

Materials Research Furnaces (MRF) designs and manufactures specialized high-temperature heating systems for scientific and industrial research in materials science, engineering, metallurgy, ceramics, nanotechnology, and related fields. Our furnaces allow precise control of temperature, atmosphere (vacuum, inert gas, reducing/oxidizing environments), and pressure to study, synthesize, and process materials under controlled high-temperature conditions.

Job Summary

The HR & Finance Generalist supports the day-to-day operations of the Human Resources and Finance functions, while also serving as the company’s Office Manager. The role is a hands-on contributor across payroll, benefits administration, accounts payable/receivable, recruiting coordination, employee lifecycle administration, and the smooth running of the office and facility. Reporting to the Financial Controller, this multi-function role is well suited to a detail-oriented professional who thrives in a small-company environment, enjoys variety, and can move comfortably between people-focused HR responsibilities, accuracy-driven finance tasks, and the day-to-day office operations that keep the business running. The Generalist plays a key role in maintaining compliant, well-documented processes and in delivering reliable support to employees, management, and visitors.

Key Responsibilities

Human Resources

Administer the full employee lifecycle, including onboarding, new-hire paperwork, I-9/E-Verify, status changes, and offboarding.
Coordinate recruiting activities: posting roles, scheduling interviews, communicating with candidates, and supporting hiring managers.
Administer employee benefits programs (health, dental, vision, 401(k), leave) and serve as a first point of contact for employee questions.
Maintain accurate, confidential employee records in the HRIS and personnel files in compliance with applicable regulations.
Support performance review cycles, training coordination, and employee engagement initiatives.
Help ensure compliance with federal, state, and local employment laws (FLSA, FMLA, ADA, EEO, OSHA recordkeeping).

Finance & Accounting

Process accounts payable and accounts receivable, including invoice entry, vendor payments, and customer billing.
Prepare and process payroll accurately and on time, including timekeeping review, deductions, and reconciliations.
Assist with month-end close, journal entries, account reconciliations, and supporting schedules.
Maintain accurate financial records and documentation in the ERP/accounting system.
Support expense reporting, corporate card reconciliation, and vendor/customer recordkeeping.
Assist the Financial Controller with audits, budgeting, and ad-hoc financial reporting and analysis.

Office Management

Oversee day-to-day office operations, ensuring a professional, well-organized, and welcoming workplace.
Greet and direct visitors, manage incoming calls and mail, and coordinate shipping/receiving for office needs.
Order and maintain office supplies, equipment, and pantry/kitchen stock within budget.
Coordinate with vendors and building services for facilities, maintenance, cleaning, and repairs.
Support scheduling, meeting logistics, travel arrangements, and company events or celebrations.
Maintain office systems, filing, and records; help administer phone, internet, and office software accounts.
Serve as a point of contact for general administrative and office-related requests across the company.

Cross-Functional & Administrative

Serve as a liaison between employees, management, and external providers (payroll, benefits brokers, insurance carriers).
Maintain and improve standard operating procedures across HR and Finance functions.
Support compliance reporting and recordkeeping for both HR and Finance.
Handle confidential information with the highest level of discretion and integrity.

Required Qualifications

Associate's or Bachelor's degree in Human Resources, Accounting, Finance, Business Administration, or a related field (or equivalent experience).
3+ years of combined experience across HR and/or finance/accounting functions, ideally in a small or mid-sized organization.
Working knowledge of payroll processing, benefits administration, and basic accounting principles.
Familiarity with HRIS and ERP/accounting systems (e.g., QuickBooks, ADP, Paychex, or similar).
Strong organizational, analytical, and problem-solving skills with a high attention to detail.
Proven ability to handle confidential information with discretion.
Experience with office management or administrative coordination, including vendor and facilities support.
Proficiency in Microsoft Excel and standard business software.

Preferred Qualifications

Experience supporting both HR and Finance functions in a manufacturing or industrial environment.
Knowledge of multi-state payroll and employment compliance.
HR certification (PHR, SHRM-CP) or progress toward an accounting/finance credential.
Experience with month-end close and financial reporting.

Work Environment

This position operates primarily in an office environment within a manufacturing facility that produces industrial furnace systems. The role requires regular interaction with employees across the organization, as well as external service providers. Occasional time on the production floor may be required to support HR and operational needs.

Pay: $65,000.00 - $70,000.00 per year
