Full Job Description

Title: Dispatcher
Location: Marathon, WI

Job Summary: The Dispatcher is responsible for planning, organizing, and coordinating truck schedules to meet customer delivery requirements and production demands. This role communicates with customers and drivers to ensure timely and efficient deliveries, prepares delivery documentation, maintains accurate dispatch records, and supports daily operational and administrative functions. The Dispatcher plays a key role in ensuring customer satisfaction, operational efficiency, and effective communication between departments.

Key Responsibilities & Duties:

Plan and coordinate truck schedules based on customer requests and production requirements.
Communicate with customers to determine delivery needs, scheduling requirements, and service expectations.
Assign drivers to routes and communicate delivery schedules and dispatch instructions.
Enter routing, scheduling, and assignment information into dispatch software while maintaining accurate records.
Prepare delivery tickets, load documentation, and related paperwork for drivers.
Respond to driver inquiries regarding routes, schedules, deliveries, and operational issues.
Utilize dispatch software, multi-line phone systems, two-way radios, and Microsoft Office to coordinate daily operations.
Perform administrative duties including data entry, filing, reporting, and record maintenance.
Assist with resolving customer delivery concerns and service-related issues.
Support operations with schedule adjustments during peak production periods or changing customer demands.
Prepare reports and documentation for management as needed.
Perform additional duties as assigned to support daily operations.

Education & Preferred Qualifications:

High school diploma required; associate degree in Logistics, Transportation, Supply Chain, or a related field preferred.
Two to four years of experience in dispatching, trucking, logistics, transportation, or a related field.
Familiarity with trucking industry terminology, routing practices, and DOT regulations.
Experience working in construction materials, manufacturing, or industrial environments preferred.
Experience using dispatch, routing, or fleet management software.
Intermediate proficiency with Microsoft Office, including Outlook, Excel, and Word.
Strong organizational, communication, customer service, and problem-solving skills.
Ability to prioritize multiple tasks and adapt to changing operational needs.

Physical & Mental Demands:

Frequent sitting, keyboard use, data entry, and telephone communication throughout the workday.
Frequent standing, walking, and handling of office materials and documentation.
Occasional climbing, kneeling, crawling, and lifting or moving materials weighing up to 50 pounds.
Ability to analyze scheduling information, coordinate multiple priorities, and make sound decisions under time-sensitive conditions.
Strong verbal and written communication skills with the ability to interact effectively with customers, drivers, and internal teams.
May require operation of office equipment, communication devices, and company vehicles as needed.

Work Environment:

Work is performed primarily in an office environment with regular interaction in plant and yard operations.
Approximately 90% of work is indoors and 10% outdoors supporting dispatch and operational activities.
Frequent interaction with drivers, customers, production personnel, and transportation teams.
Exposure to moderate noise, moving equipment, weather conditions, and active industrial environments during field interactions.
Standard full-time schedule of approximately 40 hours per week with overtime as needed to support business operations.
Occasional travel may be required for operational support, meetings, or training.
