Full Job Description

Position Overview:

The Administrative Assistant is the first point of contact for MDC's McKinney office, responsible for creating a professional, welcoming front-office experience for visitors, clients, vendors, and project teams while providing administrative support to office and project staff. This role keeps daily office operations organized, responsive, and running smoothly. Part-time arrangements may be considered for the right candidate.

Role & Responsibilities:

Front Desk & Office Operations

Serve as the first point of contact for the office - greet visitors, clients, vendors in a professional, friendly manner
Answer, screen, and route incoming calls; take accurate messages and follow-up in a timely manner
Manage incoming and outgoing mail, packages, and courier deliveries
Maintain clean, organized front desk, lobby, kitchen, and conference room areas
Monitor inventory and order office and kitchen supplies

Administrative & Project Support

Perform accurate data entry and recordkeeping in company systems, including the ERP (Acumatica)
Assist with document handling - filing, scanning, certificates of insurance, and subcontractor paperwork
Support project managers, estimators, and office leadership with clerical tasks and reporting as needed
Assist with scheduling meetings, conference rooms, and office calendars

Office & Vendor Coordination

Coordinate with building management and office service vendors (cleaning, maintenance, equipment)
Support onboarding logistics for new hires, including desk setup, supplies, and welcome coordination
Assist with planning office meetings, lunches, and company events

Qualifications:

Required

1+ years of experience in a front desk, receptionist, or administrative support role
Proficiency in Microsoft Office (Outlook, Word, Excel), and some ERP system experience
Professional, courteous communication skills by phone, email, and in person
Strong organization, reliability, and punctuality; able to handle confidential information with discretion
High school diploma or GED

Preferred

Experience in a construction, real estate, or related industry office environment
Bilingual - English/Spanish
