Beauty Finds — Full-Time, On-Site

Beauty Finds is a fast-growing live commerce and e-commerce company looking for an exceptionally organized, tech-savvy, and proactive Executive Assistant & Operations Coordinator to work directly with our General Director.

This is not a traditional administrative assistant position.

We are looking for someone who is extremely comfortable with computers, learns new software quickly, is highly organized, and can become the right hand of an executive managing multiple departments and projects at the same time.

The ideal candidate is the type of person who sees a problem, figures out how to solve it, follows up without being reminded, and makes sure nothing falls through the cracks.

What You'll Do

You will assist the General Director across multiple areas of the company, including operations, administration, HR support, technology, reporting, and special projects.

Responsibilities include:

Assist the General Director with daily operations and priorities
Manage and follow up on tasks across different departments
Help organize projects, deadlines, meetings, and action items
Maintain spreadsheets, reports, trackers, and operational dashboards
Work extensively with Microsoft Excel and/or Google Sheets
Learn and operate our internal software, dashboards, and custom-built company systems
Enter, organize, review, and analyze operational data
Assist with employee attendance and basic HR administration
Maintain employee records, schedules, attendance information, and documentation
Help coordinate hiring, interviews, onboarding, and employee paperwork
Follow up with employees and department leads when information or action is needed
Create reports and summaries for management
Assist with inventory, sales, live commerce, fulfillment, and warehouse-related administrative tasks when needed
Help troubleshoot basic computer, software, account, printer, or system issues
Research solutions and help implement new tools and processes
Create and maintain SOPs and internal documentation
Communicate with vendors, employees, candidates, and other business contacts
Handle confidential company and employee information professionally
Support special projects directly assigned by the General Director
Identify inefficiencies and help improve company processes

What We're Looking For

This position requires someone who is VERY comfortable with technology.

You should be able to learn a new program or internal system quickly without needing extensive training.

Strong candidates will have:

Excellent computer skills
Strong Microsoft Excel and/or Google Sheets skills
Ability to work with formulas, filters, sorting, spreadsheets, and large amounts of information
Ability to quickly learn new software and internal systems
Excellent organization and time-management skills
Strong attention to detail
Strong written and verbal communication
Ability to manage many different tasks and priorities simultaneously
Ability to work independently
Strong problem-solving skills
Ability to research and figure things out when you don't immediately know the answer
Professional judgment and discretion
Reliable follow-through
Comfortable working in a fast-moving environment where priorities can change quickly

What Success Looks Like

Within the first few months, you should understand our internal systems and daily operations well enough that the General Director can delegate something to you and trust that it will be handled from beginning to end.

The goal of this position is to become a trusted right-hand person to the General Director and help keep the organization moving efficiently.

Position

Full-Time
On-Site
Monday–Friday, with flexibility when business operations require it.

Compensation is based on experience and skill level.
