Full Job Description

Position Overview:
The Shelter Intake Coordinator serves as the primary point of contact for emergency shelter admissions while ensuring the accuracy, integrity, and reporting of client data. This position conducts client intake, eligibility determination, HMIS data entry, bed management, and reporting while collaborating with case managers and leadership to support high-quality client services, regulatory compliance, and grant reporting.

Work Environment and Work Schedule:

This position is in-person, onsite at our Watt Ave. Safe Stay Community Shelter. The role will be scheduled for the following shift: Monday-Friday, 7:00am-3:30pm

Key Responsibilities/Essential Functions

Conduct client intake, screening, and admissions for emergency shelter programs.
Verify eligibility and collect required documentation.
Orient clients to shelter rules, services, and expectations.
Create and maintain HMIS records in compliance with HUD and Continuum of Care requirements.
Enter assessments, enrollments, exits, services, case notes, bed assignments, and housing outcomes into HMIS within required timelines.
Monitor bed availability and coordinate admissions with shelter staff.
Perform data validation, quality assurance, and resolve discrepancies.
Generate reports for leadership, funders, audits, and program evaluation.
Maintain confidentiality and comply with HMIS privacy/security standards and organizational policies.
Collaborate with case managers and program leadership to ensure accurate documentation.
Develop dashboards and reports using Excel or similar tools.
Create individual client files and assign to available Case Manager.
Update all trackers with Case Manager assignments.
Exit all clients upon exit and file records for storage.
Support grant reporting and outcome measurement initiatives.

Qualifications:

Excellent attention to detail and accuracy; extremely motivated and results-oriented with outstanding organizational and communication skills.
Strong analytical and technical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
Confident and efficient use of statistical packages (e.g. Excel, Access, Google Sheets, relational databases/related software) for analyzing datasets and designing databases & spreadsheets.
Experience with HMIS or comparable case management systems preferred.
Strong data entry, analytical, organizational, customer service, and communication skills.
Experience in homeless services, social services, or nonprofit programs preferred.

Physical Requirements

Prolonged periods of sitting while working at a computer and analyzing data.
Frequent use of hands and fingers for typing, data entry, and operating office equipment and software tools.
Ability to view computer screens for extended periods while working with data, dashboards, and reports.
Occasional standing, walking, bending, or reaching within an office environment.
Ability to lift and carry light materials (e.g., files, laptops, or office supplies) up to 15-20 pounds.
Ability to communicate effectively in verbal and written formats with team members and stakeholders.
Ability to maintain focus and attention to detail for extended periods while working with complex datasets

Working Conditions

Work is performed both in an office environment and in the field, including outdoor locations where individuals experiencing homelessness may reside.
Regular use of multiple software systems, including databases, spreadsheets, dashboards, and case management systems.
Frequent collaboration with program staff, leadership, and external partners to collect and validate data.
Work involves managing multiple projects and deadlines in a detail-oriented, data-driven environment.
Requires a high level of accuracy, confidentiality, and discretion when handling sensitive client and organizational data.
May involve presenting data insights and reports to a variety of audiences, including non-technical stakeholders.
Minimal physical strain outside of standard office ergonomics; emphasis on repetitive computer-based tasks.
Collaborative, cross-functional role supporting program evaluation, grant reporting, and organizational decision-making
