Full Job Description

About the Role

We are looking for a highly organised and customer-focused Order Entry Specialist to join our team in Ocala, Florida.

This role will be responsible for managing customer orders from initial entry through to fulfilment, while providing ongoing support to customers and internal teams. You’ll work closely with Sales, Customer Service, Service and Quality to ensure orders are processed accurately, enquiries are resolved efficiently, and customers receive a high level of support throughout the process.

The position would suit someone with experience in order processing, customer service, administration, or a similar coordination-based environment who is comfortable working across multiple priorities and has excellent attention to detail.

Key Responsibilities

Review, enter and process customer orders accurately and efficiently.
Handle customer enquiries by phone and email, providing timely support after an order has been placed.
Coordinate with Sales, Service and other internal departments to ensure orders progress smoothly.
Review customer and product issues, carrying out initial troubleshooting before escalating where appropriate.
Support the management of warranty enquiries and work alongside Quality and Service teams to resolve issues.
Identify and document potential quality or regulatory concerns and ensure they are escalated through the appropriate channels.
Process and maintain Return Merchandise Authorizations (RMAs) for returned parts and products.
Maintain accurate records and ensure relevant customer and order information is captured correctly.
Identify opportunities to improve existing processes and contribute to wider continuous improvement initiatives.
Take a proactive approach to resolving issues and ensuring customers receive a positive experience.

What We're Looking For

We’re looking for someone who is detail-oriented, dependable and confident communicating with both customers and internal stakeholders.

You should ideally have:

A high school diploma or equivalent; further education or relevant training is advantageous.
Previous experience in order entry, customer service, order processing, administration or a related role.
Strong attention to detail with the ability to maintain accuracy when handling a high volume of information.
Excellent written and verbal communication skills.
The ability to manage multiple tasks, prioritise effectively and work to deadlines.
Experience using computerised systems for data entry and record management.
Familiarity with CRM or ERP systems; experience with Salesforce or Microsoft Dynamics 365 would be beneficial.
A practical, solution-focused approach to resolving customer or order-related issues.
The ability to work effectively with different departments and build positive working relationships.
