Full Job Description

Job Overview
We are seeking a dynamic and highly organized Front Office Coordinator to be the welcoming face of our organization. To be considered for this position you should have at least 2 years in a prior administrative role. Profecient in Microsoft Suite (Word, Excel and Outlook) as well as knowledge with Quickbooks. In this vital role, you will manage front desk operations, coordinate administrative tasks, and ensure seamless communication across departments. Your energetic approach and exceptional organizational skills will help create a positive environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting our team’s daily functions.

Responsibilities

Greet visitors, clients, and staff warmly, ensuring a professional and friendly first impression at all times
Manage multi-line phone systems, screen calls, and direct inquiries efficiently to the appropriate departments or personnel
Handle scheduling and calendar management for meetings, appointments, and events using tools like Google Workspace or Microsoft Office
Maintain organized filing systems, perform data entry tasks, and ensure accurate record keeping with attention to detail. Knowledge of Quickbooks is a plus.
Assist with clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
Support office management tasks including supply inventory, equipment maintenance, and general administrative support
Provide exceptional customer service by addressing inquiries promptly and courteously in person or via phone or email

Requirements

Proven experience in office administration or front desk roles with strong organizational skills
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent phone etiquette with experience managing multi-line phone systems and providing customer support
Familiarity with QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
Strong typing skills with attention to detail for data entry and proofreading responsibilities
Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
