We are looking to add an experienced doctor's assistant to our team! Our Doctor Assistants are an essential part of our staff. They improve the efficiency of our veterinarians, enhance the medical treatment of our patients, and contribute to the positive experience of the pet owner.

PLEASE NOTE: this is a hybrid role combining elements of both a veterinary technician and a doctor assistant position.

Our Doctor Assistants provide a blend of administrative, clerical, and hands-on clinical support. While the role includes some animal handling and technical assistance, it is also heavily focused on front-end and client-facing responsibilities such as managing schedules and appointments, rooming patients and obtaining medical histories, preparing and presenting estimates, and communicating with clients by phone, email, and text.

Position Summary

The Doctor’s Assistant (DA) is a vital member of the veterinary team, serving as the primary liaison between the veterinarian and clients. This role ensures smooth workflow in appointments, accurate medical documentation, and compassionate client communication. The DA supports patient care, builds strong client relationships, and helps maintain continuity of care.

Key Responsibilities

Client & Patient Support

Greet clients and patients warmly and professionally.
Obtain and update detailed patient histories, including medications, diet, water intake, appetite, and current concerns.
Serve as the doctor’s primary point of contact for clients, addressing questions, follow-ups, and ongoing care instructions.
Educate clients on common conditions, preventive care, treatments, and discharge instructions.
Assist in creating and reviewing treatment estimates and discuss payment options.
Ensure clients leave with scheduled follow-up appointments when necessary.

Veterinary Assistance

Prepare exam rooms and assist during examinations and diagnostic procedures.
Comfortably restrain cats and dogs of varying sizes and temperaments.
Perform or assist with:

o Blood draws (cephalic, saphenous, jugular)

o IV catheter placement

o Monitoring anesthesia and surgical equipment (ventilator, fluid pump, etc.)

o Measuring blood pressure

o Processing lab samples (in-house and send-outs)

Enter accurate medical records in the Patient Visit Log (PVL) and ensure proper billing of services.
Relay vital patient information to the doctor during exams.
Assist the doctor by completing tasks such as processing refills, managing insurance claims, and preparing medications for client pickup.

Administrative & Clerical Support

Maintain clean, organized, and fully stocked exam rooms and workspaces.
Perform clerical duties including filing, copying, faxing, and data entry.
Support front desk and other departments as needed.
Audit ER reports and PVL for completeness; alert doctor to new lab results.

Professional Expectations

Maintain a professional, calm, and courteous demeanor at all times.
Work collaboratively with veterinarians and the hospital team to ensure exceptional patient care.
Be flexible and willing to assist in other hospital areas as needed.
Perform other duties as assigned.

Daily Workflow & Appointment Protocol

Preparing for an Appointment

1. Identify the main reason for the pet’s visit.

2. Check vaccine reminders and update as needed.

3. Review recent weights; alert doctor if substantial changes occur.

4. For new patients, ensure previous records are attached and review for pertinent information (chronic conditions, previous surgeries, vaccination reactions).

Rooming Patients / Collecting History

1. Introduce yourself by first name and title. Example:

“Good morning, I’m Danielle, Dr. Ikezawa’s assistant. I’ll be helping you and Fluffy today.”

2. Collect patient history in under 5 minutes, including:

o Reason for visit

o Water intake, appetite, vomiting, diarrhea, coughing, sneezing

o Current medications (name, strength, frequency)

o Current diet (type, quantity, frequency)

o Refill requests

3. Weigh the patient and record vitals.

4. Relay history and vitals to the doctor before the examination begins.

During & After Examination

Assist the doctor as needed with procedures and note-taking.
Ensure treatment lists from the doctor are accurately entered in the PVL.
Verify appointment charges are correctly recorded.
Deliver medications to clients and guide them to billing, or hand off to the front desk with proper check-out instructions.
Confirm the PVL includes all invoiced items to alert CSRs for final billing.

Physical Requirements

Lift/carry up to 40 pounds multiple times per day.
Restrain animals on floor and exam table.
Stand, walk, bend, stoop, kneel, crouch, twist for extended periods.
Work at a computer for long periods.
Manipulate objects with dexterity; maintain visual acuity for close, distance, color, peripheral vision, depth perception, and focus adjustment.
Potential exposure to zoonotic diseases, anesthetic gases (with protective measures), cleaning chemicals, and bodily fluids.

Qualifications

Experience in a veterinary setting preferred.
Strong interpersonal and communication skills.
Ability to multitask and stay organized in a fast-paced environment.
Competency in basic medical math and veterinary terminology.
Commitment to providing compassionate care for animals and respectful service to clients.

Work Details:

Open Monday through Friday from 8 am-6 pm.

Full-time: 35-40hrs/week
