Full Job Description

American River Ag is a growing, established company seeking a dependable, detail-oriented Office Administrator to support daily office operations, accounts payable tasks, record keeping, and general administration. This is a strong opportunity for someone who wants to build a solid foundation, learn how the business operates, and grow into a position with greater responsibility over time.

The right person enjoys staying organized, learning new systems, solving problems, and helping wherever needed. You will work closely with company leadership and receive exposure to QuickBooks, Excel, contracts, accounting support, and the systems that keep a busy office running smoothly.

What you’ll own

Enter and code approved bills in QuickBooks, maintain vendor and expense records, and help prepare payments according to company procedures.
Manage vendor, account, and statement reconciliations and help research duplicate charges, missing credits, or other discrepancies.
Maintain accurate Excel tracking spreadsheets, accounts payable schedules, reports, and recurring office tools.
Organize office workflows, files, supplies, calendars, documents, and recurring administrative processes.
Enter and verify contract, vendor, and customer information in company systems with a high level of accuracy.
Help respond to vendor questions, obtain missing documentation, and communicate with employees, customers, and outside professionals in a friendly, professional manner.
Handle local errands and other business needs when required.
Notice what needs attention, prioritize competing requests, and close the loop without constant follow-up.

What we’re looking for

Three years of administrative, office support, data-entry, accounts payable, or related experience is preferred.
Experience with QuickBooks or similar accounting software is helpful; a strong willingness to learn is essential.
Proficient with Excel, including basic formulas, filters, sorting, formatting, and maintaining reliable tracking spreadsheets.
Ability to learn company procedures, ask good questions, take notes, and become increasingly independent over time.
Exceptional organization, accuracy, judgment, and follow-through.
Ability to manage multiple priorities, work independently, and create order in a busy office.
Professional communication skills and a service-minded, team-oriented approach.
Discretion when handling banking, vendor, financial, customer, and company information.
Proficiency with Microsoft Outlook and Word; strong data-entry and 10-key skills.
Valid California driver’s license, reliable transportation, and authorization to work in the United States.
