Staff Accountant

St. Augustine – St. Johns County Airport Authority

Accounting Department | Full-Time | On-Site in Saint Augustine, FL

Salary Range: $60,000 – $75,000 annually, depending on experience and qualifications

Benefits: Florida Retirement System (FRS), health, dental, vision, paid leave, paid holidays

Reports To: Financial Controller

Work Schedule: Monday – Friday, on-site

About the Opportunity

The St. Augustine – St. Johns County Airport Authority is building an accounting department with strong internal controls, professional standards, and a real path for growth. We are hiring a Staff Accountant to join our Financial Controller and existing Staff Accountant. This is a hands-on role for someone who is developing their accounting career and is looking for an environment where their contribution will be visible, their work will matter, and their growth will be supported.

The successful candidate will work alongside an experienced team, learn the operations of a general aviation airport, and take ownership of core accounting functions across the full transaction cycle — from daily processing through month-end reconciliations and audit preparation. As the department grows over time, the role is expected to shift toward more analytical and reporting responsibilities. For the right person, this position offers a genuine trajectory toward Assistant Controller based on demonstrated performance, professional development, and completion of an accounting degree.

What You Will Do

Accounts Receivable and Tenant Billing

Generate monthly invoices for tenant leases, fuel sales, and other recurring billings
Post payments to QuickBooks Online (mail, ACH, credit card) daily
Open and log incoming mail containing checks; maintain the check log
Prepare remote bank deposits for Controller transmission
Process walk-in and call-in credit card payments
Maintain accounts receivable aging; follow up on past-due accounts with tenants
Prepare credit memo and write-off recommendations for Controller approval

Accounts Payable

Receive and scan vendor invoices; verify proper approvals and Purchase Order documentation are attached
Enter vendor bills into QuickBooks Online with appropriate coding to GL and grant accounts
Prepare weekly Accounts Payable aging and payment run recommendations for Controller review
Prepare checks for signature; assemble check packages with supporting documentation
Reconcile vendor statements; follow up on outstanding issues
Maintain W-9 and Certificate of Insurance tracking for vendors
Prepare monthly sales tax filings and annual 1099 reporting

Daily Operations

Enter AMEX cardholder transactions in QuickBooks Online; follow up on missing receipts
Download and post daily fuel system reports (Titan, QT Pods)
Invoice fuel customers per the established billing schedule
Scan and file capital improvement invoices and supporting documentation

General Accounting and Reconciliations

Prepare journal entries including recurring accruals, prepaids, and adjustments
Prepare monthly balance sheet reconciliations for Controller review
Prepare bank and credit card reconciliations
Assist with month-end and year-end closing processes
Prepare preliminary financial statements for Controller review

Audit and Compliance Support

Prepare schedules, reconciliations, and supporting documentation for the external audit
Maintain financial documentation in an audit-ready format
Participate in process improvement and internal control initiatives

This position operates within a documented internal control and segregation of duties framework, working alongside the Financial Controller and existing Staff Accountant.

What We Are Looking For

Required:

Working toward a Bachelor's degree in Accounting, Finance, or a related field (currently enrolled and making progress toward completion), OR a completed Bachelor's degree
Five or more years of hands-on accounting experience covering accounts payable, accounts receivable, and general ledger work
Proficiency with QuickBooks Online
Strong Microsoft Excel skills (pivot tables, VLOOKUPs, reconciliations)
Working knowledge of GAAP
Ability to work independently on assigned tasks while accepting review and feedback on work product
Strong attention to detail; the discipline to recognize when something doesn't tie out and escalate rather than force a fit
Comfort with a high-volume daily processing rhythm alongside month-end analytical work
Reliable, on-time, in-office attendance

Preferred:

Prior experience in a government, special district, airport, or nonprofit accounting environment
Familiarity with GASB standards and fund accounting
Payroll processing experience
QuickBooks Online ProAdvisor or Bookkeeping certification
Experience supporting an external audit
AAAE ACE Airport Finance certification, or willingness to pursue
