True North Construction (TNC) is a well-established, boutique high-end residential building and remodeling firm based in San Rafael, serving Marin County's most discerning clients. We are looking for a capable, personable, and self-directed Full-Charge Bookkeeper & Office Manager to serve as the financial and operational backbone of our small, close-knit office.
This is a full-time, 100% in-office W-2 position. You will work directly with the company Principal and our outside CPA team. This role is not remote, fractional, or contract.
ABOUT THE ROLE
This is primarily a bookkeeping role -- approximately 70% of your time will be spent owning TNC's financial operations end-to-end. The remaining 30% is office management: serving as the operational hub of a small but growing professional office.
You won't be working in isolation. You'll collaborate daily with our Project Manager and work alongside the Principal and field team members who rotate through the office regularly. As TNC continues to grow, additional office staff will be added -- this person will be a foundational part of that expanding team. The right candidate thrives in a small, collegial environment where everyone is pulling in the same direction.
WHO WE'RE LOOKING FOR
We are not looking for a career accountant or someone working toward a CPA. We're looking for a smart, organized, and personable professional who is solid on bookkeeping fundamentals and genuinely enjoys the variety that comes with working in a growing small business.
You'll own the books and help keep the office running -- and you'll take pride in both. Some days are heads-down financial work. Other days the phone rings, a field crew member stops by the office, or the Project Manager needs something coordinated. You don't see that as an interruption -- you see it as part of the job.
You'll work with a high degree of autonomy once you're up to speed, but you're never operating as a one-person island. The team is small, collaborative, and building something -- and this role is right at the center of it.
CORE RESPONSIBILITIES
Bookkeeping & Finance (70%):
- Own the full daily accounting cycle in QuickBooks Online -- A/P, A/R, bank and credit card reconciliations, journal entries, and general ledger maintenance
- Prepare monthly P&L statements and Balance Sheets; maintain clean, accurate books for handoff to our outside CPA
- Execute construction job costing -- track project budgets against expenditures and manage client progress billings
- Administer weekly payroll and subcontractor payment workflows
- Handle tax tracking and basic compliance reporting
Office Management & Administration (30%):
- Serve as the professional face and voice of the office -- phones, mail, and vendor relations
- Maintain subcontractor compliance documentation: W-9s, Certificates of Insurance (COIs), and Lien Waivers/Releases
- Keep project files organized and office running smoothly
- Support the Principal, Project Manager, and broader team with scheduling, logistics, and daily administrative workflows
- Serve as a coordination point between office and field staff
TRANSITION SUPPORT
Our outgoing bookkeeper is retiring after many years with the firm and will be available for the next couple of months to provide thorough knowledge transfer and onboarding support. You will not be walking in cold.
COMPENSATION & BENEFITS
- Salary: $80,000 annually (Full-Time W-2)
- Schedule: Monday-Friday, 100% in-office, San Rafael
- PTO: 2 weeks accrued PTO (begins after 90-day period) + Paid Holidays

REQUIRED QUALIFICATIONS
- 2+ years of bookkeeping experience in a small-business setting -- competent and comfortable, not necessarily credentialed
- Working proficiency with QuickBooks Online -- non-negotiable
- Solid grasp of A/P, A/R, reconciliations, and basic financial statement prep
- A natural self-starter who takes ownership and thrives with autonomy
- Personable, organized, and comfortable wearing multiple hats throughout the day
- Construction, real estate, or design-build experience is a plus, not a requirement

- You are pursuing a CPA license or looking for a pure accounting role
- You prefer a large office environment with a defined single-function role
- You need close supervision or highly structured daily direction
