Full Job Description

Central Florida Therapy Solutions is now hiring a strong front office administrator/ Scheduler for our pediatric therapy clinic located in Orange City. We are looking for someone who is fun, self-motivated and team oriented to join our busy and growing team who is celebrating their 26th year in business. In this position, your key role will be scheduling as well as performing various administrative and clerical tasks, welcoming families as they checkin and assisting our current therapy staff with any administrative needs.

You should be comfortable with but not limited to the following skills:

-Be familiar with EMR (Electronic medical record systems), Google docs and Google sheets, Word/Pages, Excel/Numbers, faxing, scanning and emailing as well as downloading and uploading documentation.

-Refreshing through the schedule on an hourly basis looking for cancellations and work to get patients rescheduled for another day.

-Assisting parents who call with cancellations due to other appointments or patient illness and working to get them rescheduled for another day.

-Filling multiple therapists schedule weekly with new, initial evaluations for first time patients that have been referred to our clinic.

-Obtaining demographics from new patient families to create an account in our EMR, submit for a benefit check, determine patient insurance eligibility, appropriate therapist placement and more, working to keep therapists schedules full.

-Tracking new patients on a Google sheet, calling to remind families of appointment day before, confirming case history paperwork completed, confirming benefit check has been completed and updating families of any copayments due.

-Tracking patients to schedule for therapy once evaluations completed, updating cancellation sheet for patients who need to reschedule at a later date and monitoring families who cancel or need to be moved to a flex schedule or removed.

-Assisting Front window to include patient check-in, collecting and documenting copays as needed.

-Manage emails and faxes from doctors to schedule new patients and requesting additional information when needed.

-Answering high volume phone calls, multi-tasking as needed.

-Manage multiple therapists schedules when patients call to cancel or reschedule appointments.

-Working to find coverage for a therapist who is out ill or taken time off by scheduling patients with a different therapist.

-Onboard training with front office side by side to ensure comprehension of tasks before independent work to occur with continuous side-by-side assistance available everyday.

-Be able to follow all Hipaa compliant policies.

Reliability, attention to detail and a strong work ethic combined with great communication skills are a must.

Hours are Monday-Friday 9:00-5:30

Benefits to include: Health insurance, Dental, Vision, 401K, PTO and Holiday pay after 60 days.

Spanish speaking a plus.

Pay scale is dependent on experience.

Level II background screening will be required for clearance.
