Bilingual Bookkeeper / Administrative AssistantOverview

USA Glass LLC is seeking a highly organized, detail-oriented, and experienced Bilingual Bookkeeper / Administrative Assistant to join our office team.

The ideal candidate must be fluent in English and Spanish, have hands-on experience with QuickBooks Online, and possess strong accounting, administrative, computer, and organizational skills.

This position requires someone who can independently manage day-to-day bookkeeping responsibilities while also supporting office operations, document management, customer accounts, and administrative processes.

We are looking for a responsible, accurate, proactive, and trustworthy professional who is comfortable working in a fast-paced business environment and handling confidential financial information.

Bookkeeping & Accounting Responsibilities

Manage daily bookkeeping activities using QuickBooks Online (QBO).
Record and properly categorize business income and expenses.
Manage Accounts Receivable (A/R) and Accounts Payable (A/P).
Create, review, and send customer invoices.
Record customer payments and maintain accurate account balances.
Monitor outstanding and past-due invoices and assist with collection follow-ups.
Enter and organize vendor bills and payment information.
Perform bank and credit card reconciliations.
Review transactions and identify discrepancies, duplicate entries, missing transactions, or incorrect classifications.
Maintain accurate vendor and customer records.
Assist with 1099 contractor records, W-9 documentation, and year-end bookkeeping preparation.
Maintain organized supporting documentation for transactions, invoices, receipts, payments, and expenses.
Assist with preparation of bookkeeping reports and financial information requested by management or the company's external accountant.
Maintain accurate and up-to-date financial records.
Coordinate professionally with external accountants, vendors, customers, and management when necessary.

Administrative & Office Responsibilities

Maintain organized digital and physical filing systems.
Prepare and organize documents, spreadsheets, reports, invoices, and administrative records.
Manage and organize email correspondence and electronic documentation.
Assist with customer and vendor account documentation.
Answer and route business calls professionally when required.
Assist with scheduling, follow-ups, and general office coordination.
Scan, upload, download, rename, organize, and properly archive documents.
Maintain confidentiality of company, employee, customer, and financial information.
Assist management with administrative reports and operational documentation.

Computer & Office Skills Required

Candidate must demonstrate strong proficiency with:

QuickBooks Online
Microsoft Excel
Microsoft Word
Microsoft Outlook
Microsoft Office / Microsoft 365
Google Sheets

PDF management and document organization
Cloud-based file management
Data entry and digital record keeping

Strong Excel skills are highly preferred, including the ability to work with formulas, filters, sorting, tables, financial data, and organized spreadsheets.

Required Qualifications

Fluent/Bilingual in English and Spanish – REQUIRED
Previous professional bookkeeping experience.
Hands-on experience with QuickBooks Online – REQUIRED.
Experience with Accounts Receivable and Accounts Payable.
Experience performing bank and credit card reconciliations.
Strong Microsoft Excel and general computer skills.
Excellent attention to detail and numerical accuracy.
Strong organizational and time-management skills.
Ability to manage multiple responsibilities and deadlines.
Ability to work independently with limited supervision.
Strong written and verbal communication skills in both English and Spanish.
Professional communication skills with customers, vendors, accountants, and management.
Ability to identify discrepancies and solve administrative or bookkeeping problems.
High level of discretion when handling confidential financial information.

Preferred Qualifications

2+ years of bookkeeping or accounting support experience.
Experience working with small or mid-sized businesses.
Experience in construction, contractors, home services, glass, glazing, or related industries is a plus.
Experience with 1099 contractors and W-9 documentation.
Experience with collections and customer account follow-up.
Experience working with external accountants or CPAs.
Experience with CRM systems and cloud-based business platforms.

Ideal Candidate

The ideal candidate is not simply a data-entry employee. We are looking for someone who understands bookkeeping, can recognize when financial information does not look correct, keeps records organized, follows up on pending items, and communicates problems to management before they become larger issues.

The candidate should be comfortable learning new systems and helping the company maintain an efficient, organized, and professional administrative and accounting operation.

Language Requirement

English and Spanish fluency is required. The candidate must be able to communicate professionally by phone, email, and in person in both languages.
