Customer Service / Administrative Assistant

Feed Manufacturing & Dairy Nutrition Company

Position Summary

We are seeking a dependable, organized, and team-oriented General Office Coordinator to support the daily operations of our family-owned feed manufacturing and dairy nutrition company. This position plays a key role in customer communication, office administration, inventory coordination, operational support, regulatory documentation, and quality assurance processes.

The ideal candidate is detail-oriented, professional with customers, able to multitask in a fast paced environment, and comfortable working closely with both office and production staff while supporting company compliance, safety, and quality standards.

Key Responsibilities

Customer Service & Communication

Answer incoming phone calls and assist customers professionally and efficiently
Process customer orders and communicate delivery or pickup information
Greet customers, vendors, and truck drivers entering the office
Assist customers with questions regarding products, invoices, and account information
Coordinate communication between customers, sales staff, nutritionists, drivers, and production teams

Administrative & Office Duties

Enter and maintain customers, inventory, production, and order information in company software systems
Maintain organized digital and paper filing systems
Monitor office supply inventory and place orders as needed
Maintain confidentiality regarding customer, financial, and company information

Feed Mill, Compliance & Operations Support

Support accurate feed order processing and production flow
Assist with feed tags, batch records, ingredient documentation, and regulatory paperwork
Support grain, ingredient, and feed inventory recordkeeping
Assist with quality control documentation and record maintenance
Communicate inventory shortages, quality concerns, or production issues to management promptly
Work closely with mill operators, drivers, nutritionists, and management to ensure accurate communication and operational efficiency

Safety & Quality Support

Promote workplace safety and support company safety initiatives
Support feed quality assurance programs and standard operating procedures
Help ensure accurate labeling, documentation, and traceability of products
Assist with maintaining organized records required for regulatory compliance and audits
Encourage a clean, organized, and professional office and work environment

Team & Company Support

Support special projects and seasonal workload demands
Contribute positively to company culture and teamwork
Demonstrate professionalism, dependability, and strong attention to detail
Assist in continuous improvement efforts across office and operational processes

Qualifications

High school diploma or equivalent required
Previous office administration, customer service, agriculture, manufacturing, or feed industry experience preferred
Strong computer skills including Microsoft Office (Excel, Outlook, and Word), Accounting software, ERP, and other standard business software.
Ability to learn feed industry and inventory management software systems
Excellent communication and organizational skills
Strong attention to detail, accuracy, and follow-through
Ability to prioritize tasks and work independently in a fast-paced environment
Positive attitude and willingness to assist wherever needed
Ability to maintain professionalism and confidentiality

Preferred Experience

Experience in any of the following areas is considered a plus:

Agriculture, dairy, or feed industry
Feed manufacturing or grain operations

Work Environment

Office environment located within an active feed manufacturing facility
Frequent communication with mill staff, truck drivers, vendors, and customers
Fast-paced environment with seasonal fluctuations in workload
Combination of desk work, phone communication, and occasional plant interaction
