Shipping & Office Assistant

Full-Time | On-Site | Hudson, Florida

Schedule: Monday–Friday, 8:00 AM–4:30 PM

Starting Pay: $16.00/hour (training rate)

Position Overview

Phoenix Trinity is a firearms manufacturer specializing in precision firearms, firearm components, and accessories.We are seeking a dependable and highly organized Shipping & Office Assistant to support our daily shipping, receiving, inventory, and administrative operations.

This is a primarily warehouse and shipping-focused position with some office responsibilities. The individual in this role will help manage the flow of products and materials in and out of our facility, process shipments, maintain accurate records and inventory, and assist with general administrative tasks.

This position also requires regular use of technology. Our team works primarily with Apple products, and this role utilizes both a Mac laptop and iPad throughout the workday. The employee will be trained to use our production management software and Xero, along with other systems required for shipping, inventory, and documentation.

As a fast-paced and growing manufacturer, we need someone who is flexible and willing to shift between responsibilities as priorities change. Accuracy, organization, reliability, computer skills, and attention to detail are essential. We are willing to train the right candidate on our specific processes, software, and procedures.

This position works directly with firearms and firearm components, and candidates must be comfortable working in a firearms manufacturing environment.

Responsibilities

Process incoming and outgoing shipments, including shipping labels and required documentation
Receive, inspect, and verify incoming shipments and materials for accuracy
Handle shipping and receiving of firearms, firearm components, accessories, and online orders
Maintain accurate inventory records and track products, materials, packaging, and supplies
Conduct inventory counts and help maintain stock accuracy across storage areas
Manage shipping-related purchase orders and monitor shipping activity
Enter and maintain accurate information within company production and inventory software
Utilize Xero for applicable purchasing, inventory, and other accounting-related processes as needed
Use a Mac laptop and iPad throughout daily shipping, inventory, and administrative responsibilities
Maintain accurate shipping paperwork, logs, records, photos, videos, and internal documentation
Provide shipping updates and information to onsite and remote team members
Maintain required records and documentation in accordance with company procedures
Organize products, materials, packaging, and supplies within the warehouse
Keep office, and shipping areas clean, organized, and efficient
Assist with general office responsibilities, including purchasing supplies, filing, organization, data entry, and proofreading
Communicate and collaborate with team members to support daily workflow
Follow all company safety, security, shipping, and handling procedures
Assist with additional shipping, warehouse, and administrative responsibilities as needed

Qualifications & Experience

Previous shipping, receiving, warehouse, or fulfillment experience preferred
Previous administrative or office support experience is a plus
Strong attention to detail and accuracy
Excellent organizational and time-management skills
Dependable attendance and ability to consistently maintain scheduled work hours
Ability to manage multiple responsibilities and changing priorities
Strong communication and problem-solving skills
Comfortable using computers, tablets, email, and web-based business software
Comfortable working with Apple/macOS and iPadOS, or able to quickly learn
Ability and willingness to learn Xero and company production management software
Ability to accurately enter, review, and verify information across multiple systems
Ability to work independently and as part of a team
Forklift and pallet jack experience preferred, or willingness and ability to learn
Comfortable working around and handling firearms and firearm components as required by the position
Ability to follow detailed company procedures and maintain accurate records

Preferred Technology Experience

Previous experience with the following is helpful but not required:

Apple computers, Mac laptops, and iPads
Xero accounting software
Shipping and label-generation with UPS
Inventory or production management software

Physical & Work Requirements

Ability to lift and carry boxes and materials weighing up to 50 lbs
Ability to stand and walk for extended periods throughout the workday
Ability to frequently bend, reach, and retrieve items from lower and upper shelving
Ability to regularly use stairs within the warehouse
Ability to safely move and organize boxes, products, and materials
Ability to safely operate a pallet jack and forklift when required and properly trained
Good hand-eye coordination and manual dexterity
Visual acuity sufficient to read labels, verify products and serial information, inspect shipments, and identify small details accurately, with or without reasonable accommodation
Ability to transition throughout the day between warehouse and office responsibilities

Employees must sign and comply with the company's Non-Disclosure Agreement (NDA) and Intellectual Property Protection Agreement and follow all applicable company policies and procedures.

Because this position involves the shipping, receiving, and handling of firearms and firearm components, accuracy, attention to detail, proper documentation, and strict adherence to established procedures are essential.
