Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

Manage front desk operations, greeting visitors and clients with professionalism and warmth
Handle multi-line phone systems, directing calls accurately and courteously
Maintain organized filing systems, both digital and physical, ensuring quick retrieval of documents
Perform data entry tasks with precision using spreadsheets, databases, and productivity software like Microsoft Office and Google Workspace
Assist with calendar management and scheduling appointments for team members and executives
Support bookkeeping activities using QuickBooks or similar accounting tools
Provide customer service support by addressing inquiries promptly and professionally
Prepare correspondence, reports, and documents through word processing and proofreading
Coordinate office supplies procurement and inventory management to ensure smooth operations
Support office management tasks such as organizing meetings, managing office equipment, and overseeing general administrative functions

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Strong computer literacy with excellent typing speed and data entry skills
Experience with QuickBooks or other bookkeeping software is highly desirable
Excellent organizational skills with the ability to prioritize tasks effectively
Bilingual abilities are a plus to assist diverse client needs
Exceptional phone etiquette skills for handling front desk duties and client communication
Proven experience in office management or administrative roles, including clerical experience and customer support
Familiarity with multi-line phone systems and calendar management tools
Attention to detail in proofreading documents and maintaining accurate records
Ability to handle confidential information discreetly while demonstrating strong time management skills
