Full Job Description

A Tax Administrative Assistant plays a crucial role in supporting a tax department or firm by performing essential administrative and clerical tasks, ensuring smooth workflow, and assisting with client service activities. The role requires a high level of attention to detail, strong organizational skills, and the ability to handle confidential information with discretion.

Key Responsibilities

Document Management: Organize, scan, file (both physically and electronically), and archive client tax documents and firm correspondence. This includes managing the secure client portal for document exchange.
Tax Return Processing: Assist with the assembly, collation, and electronic filing of various tax returns (e.g., 1040, 1120, 1065) and extensions, ensuring all required signatures and documentation are complete and accurate.
Data Entry and Tracking: Accurately input client financial data into tax software (e.g., CCH Axcess, ProConnect) and maintain internal tracking systems or compliance calendars to monitor project status and deadlines.
Client Communication and Service: Serve as a primary point of contact for clients, answering phone calls and emails, greeting visitors, and coordinating the timely gathering of necessary information or documents.
Administrative Support: Prepare and draft professional correspondence, engagement letters, reports, and other documents. Manage mail, arrange courier services (FedEx, UPS), and handle general office tasks.
Scheduling and Coordination: Coordinate meetings, manage calendars for senior staff, and assist with general administrative projects as assigned.
Confidentiality: Uphold a strict level of confidentiality and discretion when handling sensitive client and firm financial data.

Required Skills and Qualifications

Experience: Prior administrative experience is necessary, with experience in a public accounting, or finance preferred.
Technical Proficiency: Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat is essential. Familiarity with tax preparation and workflow software (e.g., CCH Axcess, ProSystem fx) is highly desirable.
Organizational Skills: Exceptional attention to detail, strong organizational skills, and the ability to manage multiple tasks and deadlines in a fast-paced, deadline-driven environment (especially during tax season) are critical.
Communication: Excellent verbal and written communication skills, with a professional and courteous demeanor for effective client and team interaction.
Attributes: A proactive, self-motivated team player with strong problem-solving abilities and a willingness to learn new software and procedures.
