Full Job Description

Who We Are

Prism Wealth Management is an independently owned financial services firm in Wooster, OH that strives to empower our community to resolve life’s complex financial decisions. Our goal is to educate retirees on how to navigate through tough financial decisions while creating a legacy that goes beyond money.

We are currently seeking a detail-oriented and organized full-time Front Office & Marketing Coordinator to support our team and ensure the efficient operation of our office. This is an excellent opportunity for someone who enjoys a fast-paced, professional environment with growth potential.

What You Will Be Doing

· Set and confirm calendar appointments

· Greet consumers on the phone and in person with a warm and welcoming approach

· Answer incoming calls and transfer all calls to the appropriate personnel

· Communicate with clients on behalf of financial advisor and firm

· Prepare conference rooms for client and prospect meetings

· Assemble meeting preparation documents pertaining to the client/prospect

· Enter and maintain client information within the CRM system

· Process incoming and outgoing mail

· Build and maintain strong relationships with clients

· Track prospect-to-client process

· Assist with creation and scheduling of social media content

· Capture photos and videos during events and workshops

· Monitor social media engagement and messages

· Assist with basic graphic design and content creation with Canva

· Assist with coordination and execution of marketing campaigns and events

· Work with financial advisor throughout marketing process to ensure compliance and approval for all consumer-facing components (mail pieces, emails, handouts, presentation slides, etc.)

· Support website updates and online presence management

· Assist with vendor coordination and project management

· Collect all vital information for all paperwork

· Assist in completing new account paperwork and annuity and life insurance applications

· Process new business applications with detail and accuracy and submit to appropriate carriers

· Obtain necessary documents and signatures from clients for carrier approval

· Track application process and new account set up

· Perform other clerical duties such as filing, photocopying, collating, faxing etc.

· Maintain and organize office files and documentation

· All other duties as assigned

What You Will Bring

· 2+ Years of Administrative Experience (Required)

· Proficiency with Microsoft Office Suite, Including Excel (Required)

· High School Degree (Required)

· Associate or bachelor’s degree (Preferred)

· Proficiency with Canva (Preferred)

· Prior Experience Working in Financial Advisory Industry (Preferred)

· Clear and Professional Communication (Verbal and Written)

· Strong Attention to Detail and Organizational Skills

· Ability to Multitask and Prioritize Effectively

· Positive Attitude

· Ability to Work Independently and As Part of a Team

· Ability to Learn and Adapt to Changes
