Full Job Description

Position Summary

We are seeking a motivated, highly organized Executive Assistant to work directly with the Chief of Staff and support a broad range of human resources, legal and compliance, administrative, and business operations functions. The Executive Assistant will work across multiple areas of the company, assisting with day-to-day operations as well as special projects and emerging priorities.

Key Responsibilities

Human Resources & Employee Support

Assist with employee onboarding, offboarding, and maintenance of personnel records.
Support benefits administration, leave administration, and other employee programs.
Prepare routine employee communications, forms, and documentation.
Assist with recruiting activities, including job postings, applicant coordination, and interview scheduling.
Maintain HR records and help ensure required documentation is accurate and current.
Assist with employee relations matters, workplace investigations, and disciplinary processes as directed.
Help track training, certifications, policy acknowledgments, and other employee requirements.
Respond to routine employee questions and coordinate with management on HR-related matters.

Legal, Compliance & Administrative Support

Assist the Chief of Staff with legal, regulatory, and compliance-related projects.
Conduct research and gather information regarding laws, regulations, policies, contracts, and other business matters.
Assist with the preparation, organization, and maintenance of contracts, correspondence, policies, reports, and other documents.
Track deadlines, requests, submissions, and follow-up items.
Assist with audits, regulatory requests, and internal compliance initiatives.
Handle confidential and sensitive business and employee information with discretion.

Executive & Business Operations

Provide project and administrative support to the Chief of Staff on company-wide initiatives.
Coordinate information and follow-up between departments and members of management.
Research issues, gather relevant information, and help develop practical solutions to operational problems.
Prepare summaries, spreadsheets, presentations, correspondence, and other materials as needed.
Help develop and improve internal processes, forms, tracking systems, and procedures.
Take ownership of assigned projects and ensure tasks are carried through to completion.
Assist with special projects and other priorities as they arise.

What We’re Looking For

Bachelor’s degree required.
Strong written and verbal communication skills.
Excellent organization and attention to detail.
Sound judgment and the ability to handle confidential information appropriately.
Strong research and problem-solving skills.
Ability to manage multiple assignments and changing priorities.
Comfortable learning new subject areas and taking initiative when presented with an unfamiliar problem.
Professional demeanor and ability to communicate effectively with employees at all levels of the organization.
Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
Prior professional, internship, administrative, HR, legal, or business experience is helpful but not required.

Pay: $60,000.00 - $70,000.00 per year
