Main Office Clerk / Automotive Accounting Assistant

We are currently seeking a highly organized and detail-oriented Main Office Clerk / Automotive Accounting Assistant to join our team. This position is a vital part of our dealership's daily operations and is responsible for supporting accounting functions, vehicle sales administration, DMV processing, customer reception, and general office duties.

The ideal candidate will be professional, dependable, customer-focused, and comfortable working in a fast-paced dealership environment where accuracy and attention to detail are essential.

Responsibilities

Process Accounts Receivable and Accounts Payable transactions accurately and efficiently.
Prepare and reconcile daily deposits using the Reynolds & Reynolds Dealer Management System.
Accept and process customer payments for Sales, Service, Parts, and Collision departments.
Assist with billing and processing new and pre-owned vehicle sales deals.
Prepare and organize all documentation required for vehicle deliveries and sales transactions.
Coordinate and process vehicle registrations, title work, and related DMV paperwork to ensure all transactions are completed accurately and promptly.
Assist with lender funding packages, credit application filing, and maintaining required documentation.
Communicate professionally with customers, vendors, financial institutions, and government agencies.
Answer all incoming dealership phone calls in a courteous and professional manner and direct calls to the appropriate department or team member.
Provide reception and administrative support to dealership staff and management.
Maintain accurate records and ensure compliance with dealership policies and procedures.
Keep work areas organized and maintain a professional office environment.
Perform additional office, administrative, accounting, and dealership support duties as assigned.

Qualifications

Previous automotive dealership office experience preferred.
Reynolds & Reynolds DMS experience is a plus, but not required.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
High level of accuracy and attention to detail.
Ability to work independently and as part of a team.
Professional appearance and positive attitude.
Ability to follow established procedures and supervisor direction.
Comfortable working with numbers, calculations, percentages, and financial documentation.
Proficient with computers and able to learn dealership software systems quickly.
Valid driver's license with an acceptable driving record.
Ability to pass a background check and drug screening.
