Position Summary:
The Supply Chain Specialist supports the Purchasing Planner by assisting with daily purchasing, planning, supplier follow-up, inventory coordination, and system maintenance activities. This role helps ensure purchase orders are accurate, supplier commitments are tracked, material availability is monitored, and purchasing information is kept current in ERP and planning systems. The position works closely with purchasing, operations, production, finance, warehouse teams, and suppliers to support continuity of supply, timely order fulfillment, and effective execution of the purchasing plan.

Academic Requirements:
Associate or bachelor’s degree in supply chain management, Business Administration, Operations, Logistics, or a related field preferred; equivalent relevant experience may be considered.
Key Responsibilities:
Support the Purchasing Planner in executing daily purchasing and planning activities to meet production, customer, and inventory requirements.
Prepare, review, update, and track purchase orders, ensuring pricing, quantities, delivery dates, supplier information, and required documentation are accurate.
Follow up with suppliers on order confirmations, shipment status, back-orders, delivery changes, lead times, and past-due purchase orders.
Monitor material availability, inventory levels, open purchase orders, and demand changes to help identify shortages, excess inventory, or supply risks.
Assist with replenishment planning by reviewing usage trends, order history, forecasts, min/max levels, and planning parameters under the direction of the Purchasing Planner.
Maintain accurate purchasing and planning data in ERP or MRP systems, including item information, supplier records, purchase order status, expected receipt dates, and inventory-related transactions.
Coordinate with receiving, warehouse, production, operations, and finance teams to resolve receiving discrepancies, invoice issues, delivery delays, and material availability concerns.
Escalate critical supplier, inventory, pricing, quality, or delivery issues to the Purchasing Planner and assist with follow-up actions until resolved.
Prepare routine purchasing, inventory, and supplier performance reports, including open order status, past-due orders, shortages, lead time changes, and delivery performance.
Support supplier communication by gathering information, requesting updates, documenting responses, and maintaining clear records of commitments and action items.
Assist with cost, availability, and lead time research to support sourcing decisions, supplier reviews, and purchasing recommendations.
Help maintain purchasing files, contracts, quotes, acknowledgments, and related documentation in accordance with company procedures.
Participate in process improvement efforts related to purchasing workflow, data accuracy, supplier follow-up, inventory visibility, and planning execution.
Perform other purchasing and supply chain support duties as assigned by the Purchasing Planner or department leadership.
Required Skills / Experience:
1–3 years of experience in purchasing, procurement support, inventory control, planning support, logistics, or supply chain operations.
Basic understanding of purchasing processes, purchase orders, supplier follow-up, inventory replenishment, lead times, and material planning concepts.
Experience using ERP, MRP, purchasing, inventory, or planning systems.
Proficiency in Microsoft Excel, Outlook, and general business software applications.
Strong attention to detail and ability to maintain accurate data, records, and follow-up notes.
Good organizational skills with the ability to manage multiple open items, deadlines, and changing priorities.
Effective written and verbal communication skills for working with suppliers and internal teams.
Ability to identify issues, ask clarifying questions, escalate concerns appropriately, and follow through on assigned actions.
Ability to read, write, and communicate effectively in English.
Ability to work on-site.
Preferred Qualifications:
Experience supporting a purchasing planner, buyer, materials planner, or procurement team in a manufacturing or distribution environment.
Familiarity with supplier scorecards, purchasing KPIs, inventory reports, and open purchase order management.
Knowledge of basic forecasting, min/max planning, reorder points, safety stock, and lead time management.
Experience with invoice matching, receiving discrepancy resolution, or supplier documentation.
APICS, procurement, or supply chain coursework or certification is a plus.

Work Environment / Physical Demands:
This role is typically performed in an office, warehouse, distribution, or manufacturing environment and may require occasional time in receiving, warehouse, or production areas to support purchasing follow-up, material availability checks, and issue resolution. The position requires regular computer use, communication with suppliers and internal teams, and the ability to manage multiple purchasing support activities throughout the workday.
