Medical Office Manager

About the Role

We're looking for a Medical Office Manager to lead the day-to-day operations of our practice. This role owns the business side of the office, from billing and financial oversight to staff management and HR, and works closely with providers to keep the practice running smoothly and profitably. The right person builds real systems rather than managing by memory, leads people in a way that gets the best out of them, and treats patient satisfaction as a daily priority, not an afterthought.

What You'll Do

Manage the practice's electronic medical records (EMR) system, including workflows, data accuracy, and staff training on the platform
Oversee medical billing processes, including claims submission, denials, patient billing, and collections
Manage the practice's P&L, tracking revenue, expenses, and profitability, and report financial performance to leadership
Handle core accounting functions, including reconciliations, payroll coordination, and vendor payments
Lead day-to-day people management for front and back office staff, including scheduling, performance conversations, coaching, and building a culture where people want to do good work
Manage HR functions such as hiring, onboarding, employee relations, and policy compliance
Build and maintain operational systems and processes (scheduling, check-in/check-out, billing workflows, etc.) so the office runs consistently, even when you're not the one in the room
Monitor and improve patient satisfaction, addressing complaints quickly and looking for patterns that point to bigger fixes
Serve as the main point of contact between administrative staff and providers to keep operations aligned
Identify and implement process improvements to boost efficiency and patient experience

What You Bring

Hands-on experience with EMR systems and comfort training others on them
Solid understanding of medical billing and revenue cycle management
Experience managing a P&L and reading financial statements
Working knowledge of accounting principles and practices
Strong people management experience, including hiring, coaching, and performance management, with a track record of building high-functioning teams
HR experience, including familiarity with employment law basics and policy administration
A systems-builder mindset, comfortable creating and documenting processes rather than relying on tribal knowledge
A genuine focus on patient experience and satisfaction
Strong communication skills and the ability to work directly with physicians and staff
Prior experience in a medical office or healthcare setting preferred
