Full Job Description

POSITION SUMMARY:

The Vendor Relations Coordinator is responsible for supporting and maintaining strong relationships with vendors, subcontractors, and partners to ensure seamless service delivery. This role acts as a key point of contact between vendors and internal teams, helping ensure services are executed on time, within budget, and to company standards. From a new vendors first job to our most seasoned vendors our team is committed to delivering critical feedback on completed assignments to prevent recurring errors, thereby ensuring overall success. As new processes and technology roll out, the Vendor Relations Team is the main point of contact to get vendors onboarded and ready to take available jobs.

DUTIES AND RESPONSIBILITIES:

1. Serve as the primary point of contact for assigned vendors and subcontractors

2. Build and maintain positive, professional vendor relationships

3. Support onboarding of new vendors, including documentation and system setup

4. Address vendor questions, concerns, and performance issues in a timely manner

5. Assist with resolving service issues, delays, or escalations

6. Conducting investigations on suspected invalid Dump Receipts

7. Organize coaching sessions for new vendors following the completion of their first assignment to establish a strong foundation for ongoing success

8. Support audits and internal reviews related to vendor performance and compliance

9. Identify trends or recurring issues and escalate as needed

10. Assist in evaluating vendor performance and recommending improvements

11. Work closely with Operations, Client Services, and Finance teams

12. Support accurate communication between vendors and internal stakeholders

13. Answer all calls and emails related to vendor questions, issues, payment, documents and job processes.

14. Maintain clear records and notes within internal systems and tools

15. Ongoing coaching of vendors in other areas as needed

16. Other duties as assigned

COMPETENCIES:

The following competencies have been identified as critical for success in the role and will be referred to during the assessment, feedback, and evaluation process.

1. Vendor Relationship Management: Ability to build, maintain, and strengthen productive relationships with vendors and subcontractors while balancing company expectations, service standards, and cost considerations.

2. Communication & Coordination: Clear, timely, and professional communication with vendors and internal stakeholders to ensure alignment on scope, timelines, and service requirements.

3. Operational Execution: Strong understanding of service delivery workflows, with the ability to coordinate vendors effectively to ensure jobs are completed on time, within budget, and to quality standards.

4. Problem Solving & Issue Resolution: Ability to identify issues quickly, de-escalate conflicts, and resolve vendor or service challenges with minimal disruption to clients and operations.

5. Compliance & Risk Awareness

6. Knowledge of vendor compliance requirements (insurance, licenses, contracts) and the ability to monitor, document, and escalate risks appropriately.

7. Organization & Attention to Detail: Strong organizational skills to manage multiple vendors, track documentation, maintain records, and ensure compliance requirements are met.

8. Call Management & Responsiveness: Ability to professionally and efficiently handle inbound calls from vendors, providing clear guidance, resolving issues when possible, and escalating appropriately to ensure uninterrupted service delivery.

EDUCATION / TRAINING AND EXPERIENCE:

1. 1–3 years of experience in vendor coordination, operations, logistics, or customer service

2. Experience working with third-party vendors or subcontractors preferred

3. High school diploma required; associate’s or bachelor’s degree preferred Strong communication and negotiation skills.

4. Proficiency in vendor management systems, CRM tools, and other relevant software.

KNOWLEDGE, SKILLS, ABILITIES:

1. Ability to provide creative solutions to user problems to ensure user satisfaction and productivity

2. Excellent teamwork and customer service skills

3. Participation in occasional project teams; resourceful, creative problem-solving skills

4. Ability to move and handle computer equipment weighing up to 25 lbs.

WORKING CONDITIONS

1. Office environment: exposure to computer screens, working closely with others in an open office

environment.

PHYSICAL DEMANDS:

1. Visual acuity: ability to view computer screen for full shift, approximately eight hours

2. Sitting for extended period of time

3. Manual dexterity for operating a computer, keyboard and mouse.

4. Speaking for operating a phone with ability to convey detailed information accurately and clearly

5. Walking (15% of the day)

6. Light lifting (no more than 25 pounds

Schedule: Monday-Friday from 8:00 am- 4:00 pm.

Payrate is $18.00- $19.00 per hour. Based on your experiences.

Pay: $18.00 - $19.00 per hour
