Full Job Description

The Part-Time Receptionist serves as the first point of contact for residents, families, visitors, vendors, and staff. This position plays a vital role in creating a warm, welcoming, and professional environment while providing exceptional customer service and administrative support. The Receptionist is responsible for managing the front desk, answering incoming calls, assisting visitors, and supporting the daily operations of the community.

Essential Duties & Responsibilities

Greet residents, family members, visitors, and vendors in a friendly and professional manner.

Answer and direct incoming telephone calls promptly and courteously.

Assist visitors with signing in and ensure all visitor procedures are followed.

Maintain the front reception area to ensure it is clean, organized, and welcoming.

Receive, sort, and distribute incoming mail and packages.

Assist residents with questions or direct them to the appropriate team member.

Provide general administrative support, including filing, copying, scanning, and data entry.

Monitor office supplies and notify management when replenishment is needed.

Assist with community events by greeting guests and providing administrative support as needed.

Maintain confidentiality of resident and employee information in accordance with HIPAA and company policies.

Communicate effectively with all departments to ensure exceptional resident and family service.

Perform other duties as assigned by the Executive Director or community leadership.

Qualifications

High school diploma or equivalent required.

Previous receptionist, customer service, or administrative experience preferred.

Experience in healthcare, senior living, hospitality, or medical office settings is a plus.

Excellent verbal and written communication skills.

Friendly, compassionate, and professional demeanor.

Strong organizational and multitasking abilities.

Proficient in Microsoft Office (Word, Outlook, Excel) and basic computer applications.

Ability to work independently while maintaining a positive team attitude.

Knowledge, Skills & Abilities

Outstanding customer service skills.

Ability to remain calm and courteous in a fast-paced environment.

Strong attention to detail.

Dependable, punctual, and trustworthy.

Ability to maintain confidentiality and exercise good judgment.

Comfortable interacting with seniors, families, and healthcare professionals.

Physical Requirements

Ability to sit, stand, and walk for extended periods.

Ability to lift up to 20 pounds occasionally.

Ability to use office equipment including computers, phones, copiers, and printers.

Ability to communicate effectively in person and by telephone.
