Job Overview
We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to patients and team members. Your proactive approach and excellent communication skills will ensure smooth office operations and a positive first impression for everyone who walks through our doors. Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
Answer inquiries via phone, email, or in person, providing accurate information or directing calls to appropriate departments
Schedule appointments and coordinate calendar management for staff or executives as needed
Maintain organized filing systems—both physical and digital.
Perform data entry tasks with accuracy, including updating records in our EMR.
Support office management activities including supply inventory, mail handling, and general administrative support
Handle confidential information discreetly while providing exceptional customer service at all times
Support specialized roles such as medical receptionist tasks if applicable, including patient check-in and appointment scheduling
Contribute to bookkeeping activities by managing invoices or basic financial records when required

Skills

Proven experience in office administration or clerical roles with strong organizational skills
Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Familiarity with multi-line phone systems and professional phone etiquette
Bilingual abilities are highly valued to serve diverse client needs effectively
Strong typing skills with high accuracy for data entry tasks
Exceptional organizational skills to manage schedules, files, and correspondence efficiently
Customer service expertise with a friendly demeanor and problem-solving mindset
Ability to proofread documents carefully ensuring clarity and professionalism
Knowledge of office management practices including filing systems, calendar management, and supply coordination
Personal assistant experience or medical receptionist background is preferred
Time management skills to prioritize tasks effectively in a fast-paced environment
Must be willing to travel to our Cuyahoga Falls office and Fairlawn office.
