Overview

We are seeking a highly organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of our business while maintaining accurate financial records. The ideal candidate will bring enthusiasm, technical proficiency, and excellent communication skills.

This position requires an individual who can multitask, troubleshoot, with proficient knowledge of Quickbooks, Excel, and Word.

Duties

Manage daily office operations, including overseeing front desk activities, handling multi-line phone systems, and maintaining a professional reception area
Perform data entry and bookkeeping tasks using QuickBooks and other productivity software to ensure accurate financial records and timely invoicing
Coordinate appointments, meetings, and calendar management for staff and executives with strong organizational skills
Prepare and proofread correspondence, reports, spreadsheets, and Word documents with precision and attention to detail
Provide exceptional customer service by addressing client inquiries via phone or email, ensuring clear communication and positive interactions
Maintain office supplies inventory, organize filing systems, and ensure the office environment is efficient and welcoming
Support administrative functions such as typing, proofreading, managing client communication, and assisting with special projects as needed

Experience

Proven experience in office management or administrative roles with a focus on clerical support and customer service
Familiarity with QuickBooks accounting software for bookkeeping tasks
Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheets management
Experience handling multi-line phone systems with professional phone etiquette
Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Personal assistant or front desk experience is a plus, along with excellent time management skills

Pay: $20.00 - $23.00 per hour
