Job Summary

We are seeking a dynamic and highly organized Office Operations professional to oversee the smooth functioning of our administrative and operational activities. In this vital role, you will coordinate daily office tasks, manage vendor relationships, supervise administrative staff, and ensure efficient scheduling and communication across teams. Your proactive approach will help foster a productive work environment, streamline processes, and support overall organizational success. This position offers an exciting opportunity to lead office management initiatives while maintaining a focus on excellence, confidentiality, and team collaboration.

Responsibilities

Oversee daily office operations, ensuring all administrative functions run seamlessly and efficiently.
Manage scheduling for meetings, appointments, and company events, coordinating calendars for multiple teams.
Supervise administrative staff and provide training and development to enhance team performance.
Handle vendor management, including negotiating contracts, processing invoices, and maintaining positive supplier relationships.
Maintain accurate bookkeeping records using accounting software such as QuickBooks; manage payroll and assist with budgeting processes.
Organize company events, meetings, and training sessions to promote team engagement and professional growth.
Manage confidential information with discretion while ensuring compliance with company policies and procedures.
Utilize Microsoft Office tools and spreadsheets to prepare reports, track expenses, and support office documentation needs.
Oversee office supplies inventory, filing systems, multi-line phone systems, and general clerical tasks to keep the office running smoothly.
Facilitate effective communication across departments through excellent phone etiquette and client communication skills.

Requirements

Proven experience in office management or administrative roles with strong organizational skills.
Demonstrated supervising experience with the ability to lead teams effectively.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data management.
Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and accounting is preferred.
Knowledge of human resources functions including payroll processing and employee onboarding/training.
Experience managing vendor relationships, contracts, budgeting, and financial software applications.
Excellent communication skills—both verbal and written—with a professional phone etiquette approach.
Ability to handle confidential information responsibly while maintaining high levels of discretion.
Strong organizational skills with the capacity to manage multiple priorities simultaneously in a fast-paced environment.
Previous office experience involving clerical duties, client interaction, calendar management, filing systems, and multi-line phone systems is essential.
