Job Overview
Are you an organized, detail-oriented professional who enjoys keeping operations running smoothly? The Diocese is seeking a dependable Administrative Assistant to support the Director of Diocesan Construction (DiCon) and Maintenance Department. This vital role serves as a central point of contact for parishes, vendors, and staff while helping manage administrative processes that support diocesan properties and ministries.

What You'll Be Doing:

Keep Operations Running Smoothly: Provide administrative support, manage correspondence, maintain records, and prepare reports and documents.
Coordinate Essential Processes: Process invoices, track financial records, and work with the Finance Office to ensure timely payments.
Support the Team: Review timecards, maintain departmental calendars, and coordinate meetings, site visits, and project schedules.
Manage Property-Related Tasks: Monitor utility accounts and billing, assist with insurance claims, and communicate with parishes, vendors, and service providers.
Be a Key Resource: Respond to inquiries and help ensure the day-to-day efficiency of the department.

What We're Looking For:

Administrative Experience: High school diploma or GED with 3–5 years of office experience. Experience in nonprofit, religious, construction, or facilities environments is a plus.
Strong Technical Skills: Proficiency with Microsoft Office, email, databases, and standard office technology.
Excellent Organization: Ability to manage multiple priorities, maintain accurate records, and meet deadlines.
Professional Communication: Strong written and verbal communication skills with a customer-service mindset.
Dependable and Proactive: Self-motivated, adaptable, detail-oriented, and committed to accuracy and teamwork.
Mission-Focused: Supportive of the mission, values, and teachings of the Catholic Church.
