Full Job Description

Office Administrator – Full-Time

We are a large condominium community seeking a dependable and detail‑oriented Office Administrator to manage accounting procedures and general office operations. The ideal candidate will demonstrate strong customer service skills, solid accounting skills, excellent computer proficiency, and outstanding interpersonal communication.

Key Responsibilities

Vendor & Resident Communication — Handle phone, in‑person, and email correspondence with professionalism and accuracy.
Newsletter & Website Management — Prepare community newsletters and maintain website content to ensure timely updates.
Microsoft & QuickBooks Proficiency — Utilize Microsoft Office and QuickBooks for daily administrative and accounting tasks.
Monthly Reconciliation — Perform monthly reconciliation of bank accounts and balance sheet accounts.
Bank Deposits & Collections — Process deposits, manage collections, and maintain accurate financial records.
Accounts Receivable & Payable — Support AR/AP functions with precision and timeliness.
Data Entry — Maintain organized, accurate administrative and financial data.
Additional Projects — Assist with special assignments and operational projects as needed.

Qualifications

Strong customer service and communication skills
Accounting or bookkeeping experience
Proficiency in Microsoft Office; QuickBooks experience required
Ability to multitask, prioritize, and maintain accuracy
Professional demeanor and strong interpersonal skills
