Full Job Description

Primary Purpose:
This position provides comprehensive administrative and clerical support to the Finance Department. The role involves assisting with financial processes, maintaining records, supporting payroll and procurement functions, and facilitating communication with internal and external stakeholders. The position requires attention to detail, organizational skills, and the ability to work independently within established guidelines.

Supervision and Guidelines:

Supervision Received:

Works under the general direction of the Finance Director. Assignments and priorities are established by the Finance Director, with some tasks requiring independent judgment.

Key Responsibilities:

Provide general administrative support to finance and accounting functions.
Perform clerical duties such as data entry, filing, document preparation, and record maintenance.
Assist with financial transactions, including processing payments, deposits, and purchase orders.
Support payroll processing and employee data management.
Maintain vendor records and assist with procurement activities.
Prepare and review financial reports and assist with audits.
Coordinate communication with vendors, departments, and external agencies.
Assist in maintaining compliance with internal policies and external regulations.
Support the preparation of council agenda items and financial documentation.
Participate in cross-training and knowledge sharing within the department.
Perform other duties as assigned to support departmental operations.

Knowledge, Skills, and Abilities:

Understanding of basic accounting and financial principles.
Proficiency in office software (e.g., Microsoft Office Suite).
Strong organizational and time management skills.
Ability to maintain accurate records and handle confidential information.
Effective written and verbal communication skills.
Ability to work collaboratively and independently in a fast-paced environment.
Familiarity with financial software systems is a plus.

Minimum Qualifications:

Associate degree in Business, Finance, or a related field.
At least four (4) years of relevant administrative or financial support experience.
Valid driver’s license and eligibility to work in the U.S.
Bilingual proficiency (English/Spanish) preferred.
Experience with financial software and electronic recordkeeping systems.

License and Certificates:

Must obtain and hold vehicle driver’s license as per City of Sunland Park Policy.
Chief procurement officer certification or acquired within a year of hire date.

Job Type: Full-time

Pay: $21.00 - $24.00 per hour
