Full Job Description

Position Summary

The Legal Assistant provides day-to-day administrative and case support to the firm's attorneys. This role is the operational hub of the office: it keeps calendars accurate, files complete, deadlines tracked, and communication moving between the firm, its clients, opposing counsel, and the courts. Success in this position requires strong organization, careful attention to detail, discretion with confidential information, and a professional, service-oriented manner with everyone who contacts the firm.

Essential Duties and Responsibilities

Client and External Communication

Answer, screen, and route incoming calls in a professional and courteous manner; take accurate messages and ensure timely follow-up.
Place outgoing calls to clients regarding case status, document requests, appointment scheduling, and attorney instructions.
Contact court clerks and judicial assistants to confirm filings, obtain hearing dates, verify procedures, and resolve docketing questions.
Respond to leads and potential clients, gather preliminary intake information, and schedule consultations with the appropriate attorney.
Greet clients and visitors and maintain a welcoming, professional front-office presence.

Calendar and Deadline Management

Maintain and update attorney calendars, including hearings, client meetings, and internal deadlines.
Calendar and monitor statutory and court-imposed deadlines, response dates, and follow-up dates; provide advance reminders to attorneys.
Monitor court notices, orders, and correspondence for date changes and update the calendar accordingly.

Case Monitoring and Document Management

Track the status of assigned cases, including upcoming deadlines, outstanding documents, and pending court actions.
Review dockets and case management systems regularly to identify new filings, orders, and scheduling changes.
Prepare, organize, and maintain physical and electronic case files, ensuring documents are complete, current, and properly labeled.
Scan, index, and upload documents to the firm's document management system following established naming and filing conventions.
File paperwork with the court and with internal records, including e-filing where applicable, and confirm acceptance of filings.
Retrieve documents, prior filings, and correspondence at the request of attorneys.

Correspondence and Mail

Prepare, process, and distribute incoming and outgoing mail, including certified mail, overnight delivery, and courier services.
Draft and send routine correspondence, cover letters, and transmittals for attorney review.
Maintain records of items sent and received, including proof of service and delivery confirmations.

General Administrative Support

Assist attorneys with document preparation, formatting, and assembly of exhibits and closing binders.
Maintain office supplies and case-related materials for assigned attorneys.
Enter time, expenses, or case notes into the firm's practice management system as directed.
Perform other duties as assigned in support of the firm's operations.

Qualifications

Required

High school diploma or equivalent.
Five or more years of administrative experience, preferably in a law firm or professional services setting.
Proficiency with Microsoft Office (Word, Outlook, Excel) and comfort learning new software.
Strong written and verbal communication skills.
Demonstrated ability to manage multiple priorities and meet deadlines with minimal supervision.
Ability to handle confidential information with discretion and comply with attorney-client privilege requirements.

Preferred

Associate's degree, paralegal certificate, or equivalent coursework.
Experience with e-filing systems and court docketing procedures in Maricopa and Mohave Counties.
Familiarity with legal practice management or document management software (e.g., [Clio, MyCase, Prevail, NetDocuments]).

Work Environment and Physical Requirements

Standard office environment. Prolonged periods of sitting and working at a computer. Occasional lifting of files or boxes up to 25 pounds. Occasional travel to courthouses or off-site locations may be required.
