About Frontenac Detailing

Frontenac Detailing & Auto Body is a highly rated, independently owned auto detailing and collision coordination business operating out of Honda of Frontenac. Founded in 2019, we serve some of the St. Louis area's most discerning vehicle owners with premium detailing, ceramic coatings, chip and scratch repair, and full-service collision coordination. We have over 250 five-star Google reviews and a reputation built on trust, transparency, and exceptional results.

We are a small, tight-knit team. Everyone here earns well above market because we operate on a revenue-share model — when the business does well, everyone does well. We are looking for the right person to grow with us.

The Role

This is not a typical administrative position. You will be the operational backbone of our body shop coordination business — the person who makes sure every estimate, work order, insurance claim, and invoice moves through the system without anything falling through the cracks.

Our owner and founder handles dealership relationships and strategic direction. Your job is to own the paper trail, manage vendor communication, and keep our customers informed from the moment a claim opens to the moment their vehicle is delivered. Over time, you will learn the body shop business from the inside and take on increasing responsibility.

What You'll Do

Estimates & Invoicing: Prepare and track repair estimates, purchase orders, and customer invoices from open to close
Insurance Coordination: Serve as the primary point of contact for insurance adjusters — opening claims, tracking approvals, managing supplements, and following up on payments
Parts Ordering: Order and track parts with our network of suppliers, ensuring accuracy, timely delivery, and correct billing
Customer Communication: Communicate proactively with customers throughout the repair process — status updates, delivery scheduling, payment collection
Shop Coordination: Coordinate job scheduling and vehicle handoffs between our detailing team and our subcontracted body shop partners
Record Keeping: Maintain organized records across all active jobs and support the owner with reporting and business administration

Who You Are

Organized and detail-oriented — you notice when something doesn't add up and you follow up without being asked
A clear, confident communicator — with customers, insurance adjusters, and shop partners
Curious and eager to learn — you don't need to know the auto industry on day one, but you need to want to understand it
Trustworthy and discreet — you will have access to financial records, customer data, and business relationships that require confidentiality
Calm under pressure — this business moves fast, and priorities shift; you stay steady
Someone who takes ownership — if it's your job, it gets done

Experience & Qualifications

2+ years in an administrative, coordinator, or office manager role — auto industry experience is a plus but not required
Comfortable with basic business software: email, spreadsheets, invoicing tools
Experience dealing with insurance companies or contractors is a meaningful advantage
Strong written and verbal communication skills
Valid driver's license

Compensation & Benefits

Starting salary $35,000 – $45,000 depending on experience
