Job Summary

We are seeking a detail-oriented and highly organized Records Clerk to join our dynamic team. In this vital role, you will manage and maintain accurate records, ensuring compliance with organizational standards and regulatory requirements. Your proactive approach to document management and information governance will support efficient operations and safeguard sensitive data. This position offers an exciting opportunity to contribute to a well-structured records environment, promoting transparency, accuracy, and security across all information assets.

Responsibilities

Manage and organize electronic and physical records using document management systems such as iManage and SharePoint.
Implement metadata standards and taxonomy classifications to facilitate easy retrieval and consistent categorization of documents.
Ensure compliance with record retention policies, legal regulations, and archival standards through meticulous filing and archival processing.
Oversee the digitization of paper records, maintaining high-quality image capture and accurate indexing for future access.
Conduct regular audits of records for accuracy, completeness, and adherence to information governance policies.
Support regulatory compliance management by ensuring documentation aligns with industry standards and legal requirements.
Proofread documents for accuracy, consistency, and clarity before final filing or dissemination.
Maintain confidentiality and uphold information security protocols when handling sensitive data.
Assist in the development of content management systems to streamline document workflows and improve organizational efficiency.
Provide administrative support related to archives management, including record retrieval, disposal, and updating of filing procedures.

Requirements

Proven experience with document management systems such as iManage or SharePoint is highly preferred.
Strong understanding of metadata, taxonomy, and archival standards essential for effective records classification.
Knowledge of compliance management practices related to record retention for legal and regulatory purposes.
Excellent organizational skills with the ability to manage multiple files simultaneously while maintaining accuracy.
Experience in records management, including filing, archival processing, and content management systems.
Familiarity with digitization processes and information security protocols to protect sensitive data.
Demonstrated administrative experience supporting document or archives management functions.
Attention to detail with strong proofreading skills to ensure document quality before finalization.
Ability to adapt quickly to new technologies such as content management systems or electronic filing platforms.
