Responsibilities

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Answer multi-line phone systems promptly, directing calls efficiently and courteously
Manage appointment scheduling and calendar coordination using productivity software
Handle data entry tasks accurately, maintaining organized filing systems and spreadsheets
Support office management duties such as supply inventory, filing, and document proofreading
Utilize computer skills including Microsoft Office (Word, Excel) and QuickBooks for various administrative tasks
Provide customer support by addressing inquiries, offering information, and ensuring excellent client communication

Qualifications

Proven office experience with strong clerical skills and familiarity with office management procedures
Excellent computer literacy with proficiency in Microsoft Office Suite, spreadsheets, and data entry software
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and communication skills; experience with multi-line phone systems preferred
Bilingual abilities are a plus to serve diverse client needs effectively
Prior experience in customer service or administrative roles is highly desirable
Ability to manage time efficiently, prioritize tasks, and maintain attention to detail in proofreading and documentation
